General Office and Reprographics Assistant

Salary: 30,000 - 32,000 per annum
Hours: Full time, office based. Shift work between 8am and 6pm
About the role
A top international law firm is looking for a General Office and Reprographics Assistant to join its busy post and print room team in London. This General Office and Reprographics Assistant role is a friendly, fast-moving position providing a post and print room service to lawyers and business services colleagues across the firm. You will join a team of four, working alongside a Senior General Office and Reprographics Assistant and three General Office and Reprographics Assistants.
This is an excellent opportunity for a motivated early-career candidate with around 12-18 months of experience in a post room or reprographics environment, who is ready to take a second step and build on that grounding in a legal setting.
Key responsibilities of the General Office and Reprographics Assistant
- Provide a friendly and efficient service to internal clients, working to agreed Service Level Agreements (SLAs)
- Complete general reprographics duties including scanning, printing and finishing work
- Produce court bundles to all specifications, including tabbing and working to complex indexes
- Create, edit, manipulate and manage PDF documents independently using PDF tools and Fox IT
- Operate Fiery-driven multifunction printers, including setting up print jobs, monitoring queues and checking output colour accuracy
- Finish legal documents using strip binding, coil binding and Velobind to client and court requirements
- Handle original, confidential and historic legal documentation with care
- Log incoming work and prioritise against deadlines, communicating clearly with the originator where a deadline cannot be met
- Sort incoming Royal Mail, DX post and internal deliveries, and carry out regular post distributions and collections
- Book international, domestic and local couriers using online portals
- Complete regular loading bay collections and deliveries
- Support the Helpdesk and wider Facilities,ICS and Business Support services as required
- Assist the Senior General Office and Reprographics Assistant with workflow coordination when needed
- Manage stock control and order supplies
- Help the Facilities team with project work such as office and desk moves from time to time
- Comply with relevant legal and regulatory obligations, including the SRA Standards and Regulations and Principles
What we are looking for in a General Office and Reprographics Assistant
Essential
- Approximately 12-18 months of previous experience in a similar post room, general office or reprographics role
- Good working knowledge of Excel, PDF, Word and Outlook
- Strong accuracy and attention to detail in document production and scanning
- Ability to work accurately under pressure and to tight client and court deadlines
- Good organisation and time management skills
- Good communication skills and a positive, flexible attitude
- A proactive team player who is enthusiastic and eager to learn
Desirable
- Experience operating high-volume printing, copying and binding equipment
- Knowledge of BigHand or another workflow tool
