We are Lavendar Care Home in Derby and we are specialists in making residential care home clients feel valued and loved whilst providing exceptional levels of care and support.
We are seeking a new receptionist / administrator to be the face of the care home to clients families and retain exceptionally high standards of administration, cleanliness and courtesy to new and existing clientele.
You will be accountable for
- Greet and welcome visitors, residents, relatives, and staff, directing them appropriately while maintaining a professional and supportive environment.
- Manage visitor logs, notify staff of arrivals, and ensure compliance with infection control, safeguarding, and CQC protocols.
- Handle inquiries from prospective clients or families, including providing information on services and potentially conducting tours.
- Maintain the reception area tidy, secure, and presentable, reporting maintenance issues and storing confidential information properly.
- Answer incoming calls promptly, transfer them to the right person, take accurate messages, and manage emails, faxes, and other correspondence.
- Process incoming and outgoing post, distribute mail, log deliveries, and handle general office duties like filing, data entry, photocopying, and ordering supplies.
- Assist with resident admin such as admissions, discharges, file maintenance, record updates for incidents, and managing resident fund accounts.
- Support staff administration including personnel files, recruitment tasks, training tracking, supervision, annual leave, and work permits.
- Uphold confidentiality, data protection (GDPR), and safeguarding policies, report concerns, handle complaints empathetically, and escalate as needed.
- Contribute to health and safety, compliance for CQC inspections, training coordination, and additional tasks like payroll or meeting arrangements.
The successful applicant will have had 5 years experience in a similar role ideally in the care sector.
