This boutique executive search firm near Covent Garden is looking for a lovely, bright and polite individual who is committed to joining their support team, taking on the important role of Receptionist on front desk, along with Office Assistant and Marketing duties. It is a busy position, offering real variety and responsibility as you take ownership of the front of house duties and more. The role incorporates the following duties:
- Reception duties:
- Meeting and greeting all guests; clients, candidates, and potential new hires. This includes managing client interviews with candidates when held at the office.
- Organising refreshments for all meetings including breakfast and lunch arrangements when necessary.
- Coordinating the meeting room bookings through Microsoft Outlook and problem solving when there are clashes.
- Confidently able to prompt staff in occupied rooms when meeting room bookings are back to back.
- Maintenance of entire reception area including four meeting rooms, ensuring rooms are consistently of a clean and tidy standard.
- Answering all calls, transferring where necessary and fielding cold callers appropriately.
- Updating the Reception handbook regularly with updated passwords and details.
- Order all stationery, paper, and kitchen/cupboard stock.
- Managing relevant office deliveries including fruit delivery.
- Taking care of staff birthday cards.
- Liaise with the cleaners on a regular basis to ensure office is kept pristine.
- Managing the post and alerting staff to packages upon arrival.
- Updating the office noticeboard with relevant upcoming internal events and details.
- Providing regular support to and working with the Marketing director, including activities such as event coordination, venue finding/management, monthly newsletter management, and enhancing our social media presence.
- Processing/formatting CVs and uploading data and business development to CRM system.
- Overflow support, and possibly cover for members of PA team which could include creating, formatting and proof-reading client proposals and reports, document binding, diary management including arranging meetings in the office and off site, and client/candidate interviews, and booking restaurants.
Desired candidate qualities:
- Professional, friendly and polite manner.
- Confident, positive attitude and calm under pressure.
- Ability to hold confidential information.
- Experience with Microsoft Word, Excel, PowerPoint and Outlook.
- Accuracy and good attention to detail.
- Excellent oral and written communication skills.
- Ideally prior Reception/front of house experience.
- An interest in Marketing to be able to support our Marketing Director.
- Previously worked in search (preferred but not desired).
This role is based 5 days in the office.
