We are looking for a confident and personable graduate to join a busy and successful venture capital firm based in Mayfair. They invest in, and help grow, start-up businesses within tech, consumer brands and much more. They are a passionate and friendly team of around 20 people and they recently moved to beautiful new offices. As such, they are looking for a charismatic, organised and proactive graduate to join them in an office assistant and front of house role.

Whilst this person will be responsible for meeting and greeting clients, offering teas and coffees and managing the meeting rooms, the role is situated within the main team, and you will be helping with office administration and overflow tasks from the PAs.

Main Duties and Responsibilities:

  • First point of contact for all guest arrivals, including greeting guests, directing guests to the correct meeting room and informing team members of arrival.
  • Refreshment duties for guests, making teas/coffees.
  • Maintaining the cleanliness of the reception area and meeting rooms, clearing meeting rooms from previous meetings, ensuring all water bottles are filled, and clean glasses are on the tables.
  • Manage the meeting room booking system, including daily check of bookings to prevent clashes or overbooking.
  • Phone call management, answering all phone calls and transferring to the necessary team member.
  • Set up all IT requirements ahead of meetings, dial-ins, presentations, etc.
  • Organise any meeting catering requested, prepare and assemble.
  • Assisting with post/parcel distribution.
  • Deep clean of coffee machines as per user manual.

Administrative support:

  • Take room booking requests from team members for all meetings.
  • Assisting with meeting scheduling.
  • Printing, binding, scanning documents.
  • Manage requests for post, taxis and couriers.
  • Support EA with tasks as needed.
  • Any other tasks as reasonably requested, including assisting the Investment Team, Marketing & Sales and Talent with research, preparing materials etc.

For the right person, there will be a chance to grow in the long term and take on more PA duties for the directors. They are a really grounded and supportive team, but equally they have high standards and work hard. Therefore, finding someone with a professional, yet friendly manner is important and a proactive and hard-working attitude is required. Whilst they are happy to consider a first jobber, they would prefer applicants to have some work experience behind them, whether this be in hospitality, internships or work placements during university. Candidates must be free to start immediately on a temp to perm basis.
