This prestigious family office in London is looking for a Private PA to support their Chairman. He travels regularly - sometimes every month for a week to 10 days and needs someone flexible who is happy to work whenever needed - sometimes over weekends and evenings. You will work as part of a small team of 8, delegating to a Junior PA and several interns and manage personal responsibilities. The role requires someone resilient and confident in their abilities as a Private PA, who is happy in a 24/7 position. Candidates MUST have previous Private PA experience.
Responsibilities
- Managing busy calendar across international time zones and inbox management of email and WhatsApp; prioritising, drafting and editing correspondence.
- Managing international business and personal travel; including flights, hotels, transfers, and detailed end to end itineraries for weekend trips. Accompanying when required.
- Gatekeeper: professionally handling all enquiries for the chairman, professionally liaise with high level contacts.
- Arranging personal documents, e.g. passports, visas (completing applications, attending embassy appointments on behalf of the applicant).
- Providing lifestyle management: medical appointments, personal errands, dinner reservations and securing tickets for events and shows.
- Support the delivery of private and corporate events, maintain a high standard of guest experience.
- Liaising with the house staff, arranging additional house staff when required, keeping the waiting staff rotas and ensuring rooms are prepared or serviced after use.
- Managing short term intern PAs.
Qualifications
This is a wonderful opportunity for someone with around 3 - 10 years experience in a Private PA position, ideally within a family office, who is able to travel at short notice and provide seamless support to a very busy individual. They are initially looking for someone for a six month contract with the potential to go permanent.
