This position demands fluency in both written and spoken French and English, alongside prior experience supporting HNWIs or working within a family office environment. The role will involve extensive international travel, often at very short notice and with ever-changing itineraries, across Europe and the USA, with limited time spent in the UK. You will support both business and private matters, requiring exceptional organisation, discretion, and emotional intelligence. You will work closely with other private staff, yet also be comfortable operating independently and spending time alone abroad. A calm, proactive, and solutions-oriented mind-set is key, as is the ability to multitask and manage shifting priorities with grace and precision.
Responsibilities include (but are not limited to):
- Assisting with the daily personal and professional affairs of the principal and their family, always with utmost discretion.
- Full diary management: scheduling across time zones, coordinating meetings, booking transportation, and maintaining detailed appointment notes.
- Inbox management: filtering, prioritising, and drafting timely responses as appropriate.
- Acting as a gatekeeper for calls and communications; managing requests and keeping the principal fully informed.
- Liaising effectively with other staff members and ensuring seamless communication across teams.
- Planning complex travel arrangements: flights (commercial and private), villas, hotels, transfers, and drivers.
- Creating and maintaining a filing system of all relevant documents, artworks etc.
- Handling personal errands, from booking restaurants and medical appointments to sourcing gifts and managing other special requests.
- Work closely with various global PAs and household staff to ensure the principal’s needs are anticipated and met, ensuring seamless operations at all times.
- Act as a barometer for the environment, keeping a finger on the pulse of the household and staff dynamics, addressing issues as they arise and offering support where needed.
Candidate Profile:
- Fluent French and English (spoken and written), Italian and/or German a bonus.
- A minimum of 3 years’ experience supporting HNWIs or in a family office.
- Comfortable with frequent and last-minute international travel.
- Highly discreet, emotionally intelligent, and diplomatic.
- A natural communicator and team player who thrives in a collaborative environment and has the confidence to voice opinions when needed.
- Meticulous attention to detail and excellent problem-solving ability.
- Strong communicator, confident managing relationships at all levels.
- Naturally organised, forward-thinking, with a calm and grounded presence.
- Flexible, with a mind-set suited to non-traditional hours and a fast-paced lifestyle.
- Holds a valid driving licence.
This is a rare and exceptional opportunity to support a truly compelling principal while travelling to some of the most beautiful locations worldwide. The role calls for a calm and composed demeanour, coupled with the ability to juggle varied responsibilities with quiet confidence. At the same time, you will need to know when to take initiative and speak up with clarity and tact. It goes without saying that this is far from a conventional 9-to-5 position; it demands a flexible, adaptable mindset and a readiness to be available outside of standard hours.
