This global hedge fund in the City needs a Senior Office Manager to oversee their London office and several European offices and also manage and mentor the administration team. This is a very fast-paced role, and they need someone who is used to managing and mentoring a team, overseeing an office, integrating systems and running multiple projects. The Senior Office Manager will be the mentor of the office support team and really add value to the offices. You will be working closely with various teams, including legal, HR and IT and there is scope for long-term growth, for a professional and driven individual.

Key Responsibilities

  • Provide guidance and mentorship to Office Administrators to ensure their performance aligns with job expectations.
  • Ensure each regional office is compliant with relevant legislation and industry standards relating to Health and Safety, data protection, and office security.
  • Oversee proper maintenance of regional offices and uphold consistent operational standards.
  • Monitor and uphold customer service standards.
  • Foster a positive workplace environment in all offices and ensure consistent practices across locations.
  • Partner with regional stakeholders; ensure teams are meeting the dynamic needs of the business.
  • Ensure that regional teams welcome visitors professionally and serve as ambassadors of the firm.
  • Assist HR with onboarding and offboarding processes, including seating arrangements for new hires and coordinating with hiring managers.
  • Supervise office event coordination, maintaining consistency and adherence to budget across all locations.
  • Administer the Office Management JiraHelpdesk in the assigned region, conducting regular reporting to monitor performance, and ensuring service level expectations are met by Office Administrators.
  • Employ various online platforms including Jira, Confluence, Workday, Concur, and SMS to efficiently oversee daily operational activities.
  • Serve as the emergency contact for out-of-hours issues within the region.
  • Serve as point escalation for regional team/OA issues.
  • Establish protocols for managing shared Office Management inboxes, ensuring timely responses from Office Administrators.
  • Collaborate with other regional Heads of Office Management globally to develop and implement productivity and efficiency improvements.
  • Implement office policies and procedures as needed to continually enhance the working environment.
  • Work alongside regional stakeholders to help plan and execute desk relocations.
  • Provide reports to the Head of Administration about regional developments and accomplishments, along with updates on team performance.

This role requires a highly driven, results-oriented individual who can prioritise effectively, manage multiple projects simultaneously, and consistently deliver high-quality work within tight deadlines in a fast-paced environment. The successful candidate will possess excellent time-management skills, be highly organised and proactive, and maintain a friendly, positive, and approachable manner when communicating with a wide range of personalities in high-pressure situations.

Required Skills

  • 10+ years’ experience in a similar role.
  • Strong proficiency in Microsoft Office, specifically Outlook and Excel.
  • High level of confidence using software and internal platforms and ability to pick up new systems very quickly.
  • Demonstrated experience managing and mentoring a team, ideally remotely too.
  • Experience using ticketing software and reporting based on data.
  • Previous roles in finance industry are a bonus.
  • Able to work occasional weekends or events, as needed.
  • Demonstrated experience interviewing and hiring team members.
