About the Role

Our client is a fast-moving, globally ambitious creative business operating at the heart of film and television production. They are looking for an exceptional Executive Assistant to support their CEO, a dynamic, visionary leader who is passionate about doing great work and doing it well. This is a role for someone who thrives in a high‑energy environment, takes genuine pride in making things run smoothly, and understands that great support is the foundation of great leadership.

The CEO seeks a trusted partner who will help her work smarter and calmer – someone who can take the weight of day‑to‑day logistics off her plate so she can focus on the big picture. She needs someone proactive, emotionally intelligent, and energized by variety.

What You’ll Do

  • Manage the CEO’s diary with precision and foresight, using Google Calendar/iCal to keep her schedule running seamlessly.
  • Act as a key communications touchpoint; monitor cc’d emails, triage and action items on her behalf.
  • Serve as a trusted gatekeeper, providing an additional set of eyes and ears to protect the CEO’s time and priorities.
  • Prepare meeting agendas, conduct pre‑meeting research, and take notes where required.
  • Manage monthly expenses accurately and efficiently using the expense management app.
  • Organise 2–3 company events per year, including the Christmas party, summer celebration, and film screenings.
  • Coordinate 2–3 business trips annually to LA and New York, handling all logistics from start to finish.
  • Assist with personal tasks (holiday bookings, restaurant reservations, gifts, tickets) to help the CEO maintain healthy boundaries between work and life.
  • Assist the documentary team with travel logistics and research for major international productions.
  • Handle light office management tasks as part of keeping the broader team running smoothly.

About You

  • 3+ years of EA or senior PA experience, ideally within a media production company (film or TV). Experience at a fashion house with talent, deadlines, and global scale may also be considered.
  • Genuine proficiency with Google Calendar/iCal and the ability to manage a busy, multi‑stakeholder diary.
  • Excellent communication skills; confident dealing with staff, clients, agencies, streamers, and talent alike.
  • Strong organisational abilities and meticulous attention to detail in all that you do.
  • Solid travel planning experience, covering both business and personal logistics.
  • Sharp research skills and the ability to prepare concise, well‑structured briefing materials.
  • High emotional intelligence (EQ); you can read a room, manage relationships diplomatically, and know when to step in and when to step back.
  • A proactive, solutions‑focused mindset; you stay one step ahead and take initiative without being asked.
  • Responsiveness across communications channels, including WhatsApp and email, when business needs require it.
  • A grounded, can‑do attitude; you don’t get precious about tasks and understand that no job is too small if it makes a difference.
  • An ambitious spirit and a genuine desire to grow with the company over time.

The role is office‑based in central London four days per week, with Fridays working from home.
