EA to CEO and Founder of Property Investment Firm

We are looking for an experienced Executive Assistant to support a high energy and successful CEO/Founder as he continues to grow his property investment and development firm. He previous assistant has stepped into a Chief of Staff role and he is looking for a skilled and polished EA to take over. He is a brilliant boss who has cultivated a great company culture and one where talent can thrive. He has very high expectations of himself and staff, and as such he wants someone with a great work ethic and proactive mind set who will think ahead and pre-empt issues and make him more time efficient. Excellent skills in diary and inbox management are key as is super attention to detail. He works at pace and needs someone with a similar energy who is also unflappable and can handle last minute changes and help keep the structure in place around him. The EA will be working closely with the CoS who is lovely and the team (c.40ppl) are a great bunch. For the right person there is lots of room to take on more with this role if desired. The role is 70% business support and 30% personal support.

Executive Assistant Duties :

  • Manage the CEO's calendar with genuine strategic intent, not meetings for meetings' sake.
  • Understand his priorities, the business's priorities, and make sure they are
  • reflected in how time is allocated.
  • Act as a gatekeeper who protects focus and is willing to push back when something doesn't belong.
  • Anticipate scheduling conflicts and resolve them before they become problems.
  • Manage the CEO's inbox with care and judgement: triage, draft, respond, and elevate where appropriate.
  • Liaise directly with clients and key contacts on his behalf, understanding the nuance of each relationship and communicating accordingly.
  • Anticipate what needs to go out and when, respond to correspondence within a timely manner which might differ from case to case.
  • Draft correspondence on the CEO's behalf in a way that reflects his voice and relationships, not a generic proxy.
  • Handle all communications with the utmost discretion, this role carries significant access and that trust is non - negotiable.
  • Ensure nothing important falls through the cracks.
  • Partner closely with the Chief of Staff to ensure joined the CEO's roles & responsibilities.
  • Share context freely and proactively, flagging anything that needs escalating.

Private PA Duties:

  • Coordinate personal commitments including dinners, family liaising, and social events that cross over with work.
  • Maintain consistency and coherence across the CEO's whole diary, professional and personal in one view.
  • Assist with logistics and planning for personal engagements with the same rigour as professional ones.

Requirements:

  • You've operated at pace in a fast paced environment to support someone who's always on.
  • You think three steps ahead and rarely need to be asked the same thing ttwice.
  • You have the confidence to push back, question, and hold firm, but clearly.
  • You are AI - curious and actively look for ways to automate and streamline,
  • You are discreet, loyal, and understand the responsibility of being close to the centre of a business.
  • You are based in or can commit to being in the office every day in person.

The right candidate will have at last 10 years + EA experience, have supported 1:1 and worked in a fast pace company where things change at the last minute. Property experience is desirable but not essential. This role is 5 days in the fabulous offices in North London.

Salary: Β£65k

Hours: 9 - 6pm Mon -Thurs, 9-5pm Fri
