Our client is an established family office focused on supporting a HNW family with all of their personal affairs. They are based in stunning offices in the West End and are a friendly and collaborative team. They are looking for a new Junior PA and Office Manager to support the Principal’s Private PA and ensure the smooth running of their offices. It requires someone who is willing to muck in and take on more detailed high-level tasks as well as running lots of errands where needed.

Junior PA Duties:

  • Supporting the senior PA with travel arrangements and itineraries
  • Booking restaurant reservations and appointments
  • Assisting with personal shopping and regular errands of a similar nature
  • Preparing reports
  • Carrying out online research for ad hoc projects
  • Managing and regularly updating the inventory database
  • Monitoring and renewing vehicle MOT/ permits / payments etc.
  • Researching / suggesting / buying birthday and Christmas gifts as well as wrapping and delivering presents
  • Assisting with maintenance of principal’s private homes
  • Covering holiday / sick leave of team members when necessary

Office Management Duties:

  • Answering calls and welcoming guests
  • Managing the meeting rooms
  • Overseeing office maintenance and cleaners
  • Keeping on top of the filing systems and general tidiness of the office
  • Organising office events (including Christmas party and summer away day)
  • Building and maintaining relationship with building management team
  • Sorting all the office’s print and digital subscriptions
  • Monitoring and ordering office supplies
  • Handling all post and couriers
  • Other ad hoc tasks

This role would suit someone with at least 2 years office admin/PA experience who has been exposed to working with HNWIs and understands the nuance that goes hand in hand when working with them. Candidates must have a degree at 2:1 or above and strong school academics too. Excellent communications skills, a proactive attitude and the ability to see the bigger picture and think outside the box are crucial. This is a really lovely role for someone who is keen to develop down the private PA path. This role is based in the office 4 days per week but requires the flexibility to do 5 days where needs be.
