A privately owned investment firm based in Chelsea is looking for an exceptional individual to join its executive office on a fixed-term basis. This is a hands-on, project-focused role designed to bring lasting order to a high-priority set of organisational and administrative priorities and it requires someone who can work with both the strategic clarity and the practical diligence the task demands.

The role involves working directly with the CEO and his EA to design and implement a long-term document and information management system that integrates physical paperwork, digital filing infrastructure and email systems. You will manage a significant backlog of physical documents, digitise records, catalogue an extensive art collection using a dedicated app, and help build a system that can be interrogated using AI. The CEO has a strong interest in how artificial intelligence can improve efficiency, and your views on this will be actively welcomed. This is very much a roll your sleeves up kind of role. One day you may be mapping out a new filing architecture; the next you will be working through years of accumulated paperwork. Both matter equally.

What we are looking for:

  • You will bring absolute discretion and a proven track record of handling sensitive personal and professional information.
  • You are highly organised, technically confident (including with AI tools) and comfortable working without extensive direction.
  • Experience supporting a CEO, working in a family office, or in environments where confidentiality is essential will be an advantage.
  • Maturity, sound judgement and genuine attention to detail are imperative.
  • An interest in modern art would be beneficial but not a necessity.

The details:

  • This is a fixed-term contract of approximately four months, working three to five days per week, with scope for review.
  • The role is fully office-based in SW3.
