A highly successful and fast-growing hedge fund based in stunning new Mayfair offices is looking for an exceptional Executive Assistant to join their team of approximately 60 people. Founded by an entrepreneurial leadership team, this firm has scaled rapidly and built a genuinely international, community-minded culture where hard work is recognised and rewarded. This is a rare and varied role supporting two senior principals, the Founder/COO and the Head of Investor Relations, spanning executive assistance, personal PA support, and investor relations administration. It is a high-trust position at the centre of the firm, and the right candidate will have every opportunity to grow with it.
Executive & Diary Support
- End-to-end diary management for both principals across multiple time zones
- Coordinating internal and external meetings, preparing agendas and materials
- Acting as a discreet and confident first point of contact and gatekeeper
- Processing and reconciling expenses, invoices and payments
Personal Assistance to the COO
- Managing private appointments, restaurant reservations, personal errands and gifts
- Maintaining a live, accurate inventory of the COO's private art collection, liaising with galleries, shippers, conservators and insurers to keep all records meticulously up to date
- Proactively anticipating needs and planning ahead for travel, events and personal logistics
- An interest in or knowledge of art would be a definite plus
Investor Relations Support
- First point of contact for investor and prospect queries
- Maintaining the investor CRM and contact database
- Coordinating meetings, calls and roadshows; supporting the preparation and distribution of monthly and quarterly investor reports, pitchbooks and presentations
- Assisting with due diligence questionnaires and managing data room access in line with compliance processes
Travel & Events
- Building detailed, end-to-end travel itineraries covering flights, transfers, accommodation and on-the-ground logistics
- Coordinating investor events, capital introduction days and conference attendance from invitation through to follow-up

Required:
- Proven experience as an EA, PA or business assistant, ideally supporting a senior principal within financial services
- Outstanding organisational skills with the ability to manage competing demands across two principals simultaneously
- Advanced proficiency in Microsoft PowerPoint and Excel
- Excellent written and verbal communication skills, with a polished and professional manner
- High degree of discretion and integrity at all times
- Experience coordinating complex, high-end international travel
- An impeccable eye for detail and a talent for anticipating needs
Desirable:
- Experience within a hedge fund, asset manager, private equity or similar buy-side environment
- Familiarity with investor CRM systems, data rooms, DDQs or investor reporting processes
- Exposure to fine-art logistics, collection management, galleries or art advisory
This is a fully office-based, five-days-a-week role from the firm's Mayfair offices. The successful candidate will be someone excited to commit fully to a growing firm and bring their best every day.
