Our client is the founder of a very successful boutique private equity fund with a green focus, and she is looking for a dynamic, super organised c-suite EA to support her. The role will involve everything from complex diary and travel management to sorting payments and invoices to organising events and AGMs with some overseas. You will be part of a small but very friendly team and based in their beautiful Mayfair offices 4 days a week with 1 day working from home. The founder splits her time between Europe and London, so building a trusting and reliable relationship is key and her EA will need to possess strong verbal and written communication skills, have excellent emotional intelligence and a strong work ethic. Duties will include but not be limited to:
- Manage complex diary scheduling, meetings, and travel arrangements, ensuring detailed itineraries and seamless coordination.
- Oversee corporate banking tasks, invoice payments, and expense reporting in collaboration with the CFO.
- Draft and send professional correspondence on behalf of the Founder, ensuring accuracy and alignment with their voice.
- Assist in preparing presentations, spreadsheets, and marketing documents.
- Build and maintain strong relationships with stakeholders, support teams, and Executive Assistants to enhance collaboration.
- Screen and manage incoming calls, prioritise inquiries, and provide timely follow-ups.
- Welcome and assist external visitors, maintaining a professional and polished office experience.
- Manage the OM, including conducting performance reviews and providing mentorship.
- Maintain an organised office filing system and collaborate with the OM to update and manage the contact database.
- Act as a liaison between the Founder and internal teams, facilitating effective communication.
- Plan and execute corporate events and AGMs with internal team members. Work closely with Investor Relations to manage and update the investor database, draft professional email communications, and conduct mailouts.
- Safeguard confidentiality and handle sensitive information with discretion.
- Coordinate with IT support to manage tech setups for meetings and troubleshoot issues as needed.
- Assist with onboarding new employees when needed, including scheduling orientations and preparing necessary materials.
- Liaise and maintain a strong relationship with the Personal Assistant to ensure calendars are aligned, avoiding conflicts or scheduling overlaps.
- Handle ad hoc administrative tasks to support the Founder’s needs.
The right candidate will be degree educated, have supported at c-suite level before and thrive in a fast-paced role juggling multiple workloads and priorities. Previous experience in boutique finance would be ideal, however this is not a prerequisite as long as candidates have worked in equally fast paced environments where there are extremely high standards.
