Our client is an investor, entrepreneur & artistic director with enterprises in film, venture capital, and renewables. He is looking for a proactive, bright and experienced EA to support him across all of his business and private affairs. As there are many moving pieces in his world, he requires an EA who is one step ahead, can juggle and prioritise, and enjoys working in a fast-paced and ever-changing environment. There are lots of people wanting his time, so strong gatekeeping and communication skills are imperative, especially as he travels extensively. Whilst calm and fair, he also likes things to progress quickly and doesn’t take no for an answer. A solutions-focused and resourceful nature is required.

Executive Assistant Responsibilities

  • Complex diary management, including planning and scheduling meetings, managing time to best effect.
  • Organising international travel itineraries; flights, transfers, accommodation etc.
  • Inbox management; prioritising and flagging relevant emails and drafting/responding where appropriate in a timely manner.
  • Acting as gatekeeper / point of contact for the principal.
  • Assisting the principal with writing articles and social media.
  • RSVP’ing to events and attending key overseeing events with him.
  • Preparing internal and external reports and documentation as needed.
  • Building and nurturing relationships with key clients.
  • Sorting and managing all expenses/invoices.
  • Assisting with business administration.
  • Implementing administrative systems and processes.

Private PA tasks for Founder

  • Booking personal appointments.
  • Sourcing gifts for friends and family.
  • Helping to manage art collection.
  • Booking personal travel for the principal and his family.
  • Being on top of important annual calendar dates (e.g. birthdays, anniversaries etc).
  • Tracking all important documents, ensuring all is up to date (e.g. passport, driving licence, etc).

The right candidate will have at least 10 years EA experience and have experience supporting 1:1 at the top level. Backgrounds in a creative or media/film environment would be ideal but it is not a prerequisite. This role is based between two of his London businesses; however, there will also be some working from home from time to time.
