Our client is a small but growing investment firm seeking a skilled C-suite Executive Assistant to support two senior team members. They are a friendly, passionate, and hardworking group who need someone proactive, calm, confident, and professional. The firm deals with UHNW clients, so understanding the nuances of liaising with individuals of this calibre and attention to detail are essential.

The responsibilities include:

  1. Complex diary management across multiple time zones, including planning and scheduling meetings/calls, adding relevant correspondence, notes, and context to appointments, and managing time effectively.
  2. Organising multi-stop travel itineraries, including flights, transfers, visas, accommodation, and restaurant reservations.
  3. Inbox management: prioritising relevant emails and responding appropriately and promptly.
  4. Acting as gatekeeper and point of contact.
  5. Building and nurturing relationships with UHNW clients.
  6. Managing IT/tech and preparing documentation before meetings.
  7. Taking notes/minutes in meetings and collating action points.
  8. Preparing reports and documentation as needed.
  9. Maintaining an efficient filing system.
  10. Preparing board paperwork.
  11. Assisting with internal and external events, socials, and dinners.
  12. Managing expenses and invoices.
  13. Conducting research as directed.
  14. Providing ad hoc support to the wider team.
  15. Offering private PA support to the CEO as required.

The ideal candidate will have previous experience supporting at Founder, CEO, or C-suite level, preferably in finance, investment, or a family office environment, with longevity in roles and experience working with UHNW individuals. The role is based in the office four days a week with one day remote. Flexibility outside standard hours may be required, and there is scope for growth for the right candidate.
