The Business and Clinical Operations Support Officer will provide high-level administrative support to the COO, Head of Clinical Operations and wider team, ensuring the smooth day-to-day running and efficient coordination of key business and clinical activities. The role will also provide administrative support to Clinical Operations, including formatting and version control of key documents, maintaining study trackers and coordinating meetings. This position requires excellent organisational skills, strong attention to detail, and the ability to follow procedures and manage multiple priorities effectively. The ideal candidate will be a proactive self-starter with a can-do attitude, strong communication skills, and the ability to work independently while following established processes, regulatory procedures and instructions where required.
Responsibilities:
- Executive Business Support: Assist the team with daily administrative tasks, including managing calendars, scheduling meetings, preparing reports, and organising travel arrangements.
- Meeting Coordination: Coordinate and schedule meetings, conferences, and appointments as needed. Prepare agendas, take meeting minutes, and follow up on action items.
- Document Management: Draft, edit, and proofread documents, presentations, and spreadsheets. Maintain and organise important company files and records in a secure and efficient manner.
- Office Operations: Assist in managing office supplies, equipment, and vendor relationships. Support the team with occasional event planning and office logistics.
- Special Projects: Assist the team with various projects, research tasks, and data analysis as required. Provide support for strategic initiatives and new business opportunities.
- Confidentiality: Maintain the highest level of confidentiality and handle sensitive information with discretion and professionalism.
- Clinical Operations Support: Provide administrative assistance, including formatting and managing version control of documents, maintaining trackers and logs, organising and filing documentation, coordinating meetings, taking minutes, and ensuring accurate and up-to-date record-keeping.
Qualifications:
- Experience: Minimum 5 years of experience in an administrative or executive assistant role, preferably in a startup or fast-paced environment, or 2 years plus a degree in a relevant area. Experience supporting clinical operations, healthcare, MedTech, or regulated environments is desirable but not essential.
- Education: Higher grade Maths and English or equivalent required.
- Required Skills: Strong organisational and time management skills, with the ability to prioritise tasks effectively. Excellent written and verbal communication skills. Reliable, methodical, comfortable following processes, and able to work under guidance in a regulatory environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with collaboration tools like Google Workspace, Teams, and Zoom. Ability to work independently and take initiative, while also following instructions carefully. Excellent attention to detail with a strong focus on accuracy and quality. Tech-savvy and adaptable to new software and systems.
- Preferred Skills: Experience supporting clinical operations, healthcare, MedTech, or regulated environments is desirable but not essential.
