We are a growing business looking for a proactive and detail-oriented Finance Co-ordinator to take ownership of our day-to-day finance operations. This role is critical in ensuring smooth cash flow, accurate financial records, and timely compliance while the founder steps back from daily financial management. You will work closely with the founder, SLT and external accountants to maintain effective financial processes and visibility across the business. This is not just an admin role, it is a key position that underpins the financial health and scalability of the business.
What’s the deal?
- Location: Part-time (20 hours per week)
- Contract: Permanent
- Location: Hybrid, including 3 days per week at our studio on London Road, St Albans, Hertfordshire, AL1 1NG
- Working hours: We are open to part-time structures, but with a preference for consistency across the week. This will likely look like 9am-1pm Monday-Friday (to note we operate a hybrid working structure, and work from the studio in St Albans on Tuesdays, Wednesdays and Thursdays).

Our work spans across all things brand, encompassing strategy, design, sales and marketing. That includes brand identities, websites, social content, internal documents and presentations, alongside commercially focused tools such as modular sales libraries, pitch decks and interactive lead generation tools. We also design, source and produce practical materials, from print and stationery to merchandise and live event collateral, ensuring your brand is as effective in the real world as it is online.

What you’ll be doing
- Invoicing and credit control
- Raise and issue invoices accurately and on time
- Monitor outstanding invoices and proactively chase payments
- Maintain and update debtor reports
- Flag late payments or risks to cash flow
- Bank reconciliation and financial records
- Reconcile bank transactions on a weekly basis
- Maintain accurate financial records within Xero accounting software
- Categorise transactions and manage expense records
- Ensure all financial data is up to date
- VAT and compliance support
- Liaise with accountant for quarterly VAT return
- Maintain clean and audit-ready records
- Support with financial documentation as required
- Payroll administration
- Prepare payroll information (hours, changes, expenses)
- Liaise with payroll provider
- Ensure timely and accurate payroll processing
- Financial organisation and process improvement
- Help streamline and improve finance processes
- Maintain a clear and documented finance workflow
- Support the founder in building a more scalable finance function
What you’ll bring
We are looking for someone with previous experience in bookkeeping, accounts or finance administration, who brings strong attention to detail and a high level of organisation. You should be confident using accounting software such as Xero or QuickBooks, and comfortable managing the full invoicing process, including proactively chasing payments. The ideal candidate will be able to work independently, take ownership of their responsibilities, and ensure tasks are completed accurately and on time without close supervision. It would be advantageous if you have experience working within a small business or founder-led environment, where adaptability and initiative are key. A basic understanding of VAT and UK compliance requirements is desirable, along with some exposure to payroll processes.
