As a Dispensary Assistant, you will be joining an enthusiastic and hardworking team of colleagues that work together to make a positive difference to the lives of their patients. You will provide support to the Dispensary Team and project a professional, positive and friendly image to patients and colleagues either face to face or over the telephone.

Main duties of the job:

  • Assisting at the Dispensary hatch to include collection of prescription charges/checking patient exemption statements, filing FP10s.
  • Maintaining full and accurate records when necessary.
  • Dealing with queries from patients either written, emailed or over the phone.
  • Sorting FP10s as relevant.
  • Recording all actions on patient records.
  • Operation of efficient stock control appropriate to the needs of the dispensary with the objective of ensuring continuity of supply for patients and minimising wastage.
  • Assisting in stock checks and keeping the work areas clean and tidy.
  • Ensuring drugs are received and stored in the appropriate manner in accordance with the manufacturers' instructions/Practice SOPs.
  • Ensuring refrigerated items are stored at the appropriate temperature/checking and noting the electronic fridge recordings regularly.
  • Assisting Dispensing team with selecting medications against FP10 for dispensing.
  • Assisting with the opening and closure of the Dispensary as per rota.
  • Liaising with other medical professionals.
  • Alerting any cause for concern to the Dispensary Manager/GP.
  • Providing cover for annual leave/sickness/busy periods.
  • Keeping up to date with training and attend any mandatory training programme implemented by the practice in line with practice policy.

Job responsibilities:

  • To assist patients with prescription collections and dispensary queries from patients either written, emailed, over the phone or face to face.
  • To collect all due prescription charges and ensure that the patient declaration on the reverse side of the FP10 is duly filled in and signed by the patient, checking patient exemption statements.
  • Processing signed FP10s as appropriate in the dispensary working system.
  • To ensure all monies received or handled on behalf of the practice are appropriately stored and a record kept of all financial transactions.
  • Process repeat prescription requests received in accordance with practice policy.
  • Dealing with any administrative tasks required by the Dispensary Manager.
  • Liaison with community pharmacies, care homes and wholesalers.
  • Operation of efficient stock control appropriate to the needs of the dispensary with the objective of ensuring continuity of supply for patients and minimising wastage.
  • Ensuring drugs are received and stored in the appropriate manner in accordance with the manufacturers' instructions/Practice SOPs.
  • Ensuring refrigerated items are stored at the appropriate temperature/checking and noting the electronic fridge recordings regularly.

The post holder will participate in any training deemed suitable or necessary Development Programme implemented by the Practice as part of their employment, such training to include participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development. Person Specification:

  • Experience in a customer/patient facing role.
  • Excellent customer service skills both face to face and on the telephone.
  • Experience of working in a fast paced, pressured environment.
  • Experience using Microsoft Office packages.
  • Excellent attention to detail.
  • Organisation and coordination skills.
  • Experience of working in a pharmacy and/or dispensary setting.
  • Experience of working within a GP practice.
  • Experience of using a clinical system (Systmone would be advantageous).
