Latymer Road Surgery is a well-established GP practice serving a diverse patient base of approximately 4700 patients. We pride ourselves on providing high-quality, patient-centered care in a supportive, professional environment. Our team works collaboratively to deliver comprehensive healthcare services to our community.
We are looking for someone to join our friendly reception team on a full-time basis for 30 hours a week, 7:45am - 19:00pm Monday-Friday by ROTA shift duty.
Main duties of the job:- Opening and closing of practice, maintaining security
- Receive and welcome patients and visitors promptly and courteously
- Handle general enquiries and booking appointments
- Register new patients following practice registration procedure
- Receive and deal with letters and deliveries. Distribute as appropriate and follow protocols.
- Receive and action prescription requests
- Deal with outgoing letters and courier collections
- Action E-consults daily with instruction from Triage team
- Use of the EMIS Web clinical information system:
- Action Emis tasks and monitor Emis workflow
- Manage prescription requests according to protocol
- Complete patient registration online and face to face & update patient details
- Action patient referrals through the E-referrals system
- Monitor personal NHS mail and practice NHS mailboxes
- Use of the Docman document management system:
- Action the Docman workflow tasks that have been sent to the reception team and ensure that these remain up to date
- Be flexible to cover colleagues in their absence including short notice cover for sickness/holiday leave
- Attend practice meetings
- Patient call lists weekly to assist with QOF target
- Other admin works assigned by manager

Job responsibilities:- Provide general support to the practice team while presenting a welcoming and professional image to patients and visitors, both in person and over the phone.
- Greet, assist, and guide patients in accessing the appropriate services or healthcare professionals in a polite, efficient, and effective manner.
- Perform a range of administrative tasks to help ensure the smooth operation of the practice, including secretarial and clerical support for clinical staff and other team members.
- Support clear and effective communication between patients, the primary healthcare team, secondary care providers, and other relevant healthcare organizations.
- Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
- Maintaining and monitoring the practice appointments system
- Processing and distributing incoming (and outgoing) mail
- Patient registration and QOF call lists
- Other admin works assigned by manager
- Clerical support to clinical staff
- Experience of working within a busy multidisciplinary team.
- Have willingness to learn
- Ability to communicate clearly and effectively, both written & verbally
- GCSE
- Experience of working in a GP Practice
- Disclosure and Barring Service Check
