Job Description

As our Amadeus Specialist Operations Executive, you’ll be the unsung hero behind the scenes, ensuring our clients' holidays go off without a hitch.

 

This part time, remote or hybrid role gives the successful candidate flexibility to do their best work at a time that suits you!

This is an exciting opportunity to join our growing Operations Team as we celebrate our 13th year of crafting unforgettable journeys. Whether you’re ensuring the client has all their final documents for their dream trip or liaising with suppliers to iron out the details, you’ll play a vital role in delivering exceptional service.

Key Responsibilities

 

This roles primary responsibility is all things flights! You'll be responsible for ticketing flight and handling airline schedule changes via Amadeus GDS.

 

In addition to this key responsibility you may occasionally be called on to support your teammates by:

Cross-checking bookings and invoices against travel itineraries.

Supporting sales consultants to resolve booking confirmation issues.

Prepare and send travel documents at the time of booking and before travel.

We have a passionate team of knowledgeable Travel Specialists ready to help clients plan the trip of a lifetime – whether it's designing their own Truly Individual Holiday or joining one of our incredible Escorted Small Group Tours.

 

Polar Routes is the polar expedition cruise specialist, and we partner with over 22 operators to bring clients a huge range of expedition cruises to the Arctic, Antarctica and beyond. We take great pride in our unrivalled knowledge of the ships, itineraries and these wonderful destinations. We’re on-course to become the UK’s biggest wholesaler of expedition cruises to the polar regions.

  

The Details

The role is offered on a remote basis with the option to work from the office in Kingston Upon Thames on Tuesdays and Thursdays.

The position is a temporary part time role. We are looking for someone to work 25-35 hours per week across 4/5 days. we are open to flexibility and keen to find a routine that suits the successful candidates availability to beat balance the needs of us and you!

 

Day in the Life of our Operations Team

9:00 : Grab your coffee and start the day by checking emails. You’ll respond to client queries, finalise bookings, and handle any urgent requests from suppliers.

9:15: Time for our daily team meeting! Let’s share our top focuses for the day, share any updates, discuss priorities, and highlight any challenges your team could support you with.

10:30 : Handle flight schedule changes or manage airline queues, ensuring every client’s journey stays on track.

12:00 : Confirm travel arrangements and cross-check invoices with itineraries. Any discrepancies? You’ll work with

the sales consultant to resolve them quickly.

13:00 : Lunch break! Whether it’s catching up with colleagues in the Rainforest Room or taking a stroll, recharge for the afternoon.

14:00: Prepare travel documents for upcoming client trips. This might involve double-checking flight details or liaising with suppliers to confirm arrangements.

15:30: Update the booking system with new rates or product details, keeping everything accurate and up to date.

 

16:30: Wrap up the day by tackling any last-minute admin tasks, updating your to-do list, and reflecting on the small wins that made a difference for clients and colleagues.
