About the Role
The Global Document Services (“GLODOCS”) Coordinator is an integral part of Latham’s Global Document Services team. This role will be responsible for acting as the frontline contact between Latham’s Global Document Services (GLODOCS) team and department users such as attorneys, paralegals, and professional staff, as well as coordinating department workflow, intaking document work requests, clarifying instructions, negotiating deadlines, communicating job statuses, maintaining the ServiceNow job queue, assigning work to team members, and ensuring that deadlines are met. The role will be located in our Manchester office. Please note that this role may be eligible for a flexible working schedule that allows for a hybrid and in‑office presence. We are recruiting for two positions. One schedule will be Monday through Friday, 4:00 pm to 12:00 am GMT/BST. The other will be Tuesday to Saturday, 8:30 am to 4:30 pm GMT/BST.
Responsibilities
- Managing emails received in the GLODOCS mailbox and moving requests to appropriate Outlook folders.
- Estimating job duration and difficulty and negotiating deadlines for projects to assure that agreed‑upon deadlines are achievable.
- Ensuring accurate and timely completion of assignments and responding to inquiries from customers.
- Creating, revising, formatting, and maintaining document files at an advanced level in core applications such as Word, Excel, PowerPoint, and Acrobat.
- Communicating with GLODOCS staff to ensure that they are on track to meet their deadlines.
Qualifications
- A high school diploma or equivalent, preferably a bachelor’s degree or equivalent.
- Relevant experience in a law firm or other professional services firm.
- Microsoft certifications in Word, Excel, and PowerPoint.
- Demonstrated ability to understand intricacies of documents and work requests, and leverage that ability into accurate estimation of job duration.
- Display the ability to analyse/troubleshoot issues and implement appropriate solutions.
- Possess the ability to evaluate a variety of factors to accurately ensure that demand for departmental work stays on target.
