We are looking for an experienced Personal Assistant/Secretary to provide high-level administrative and secretarial support to senior leadership. This role is well-suited to a proactive individual with strong organizational skills and experience in a legal environment.
Key Responsibilities
Executive Support:
- Provide direct administrative and PA support to senior leadership, ensuring smooth daily operations.
- Manage diaries, schedule appointments, and organize meetings, ensuring effective time management.
- Act as the first point of contact, handling correspondence, emails, and calls in a professional manner.
Meeting & Documentation Management:
- Prepare agendas, take accurate meeting minutes, and follow up on action points.
- Draft, proofread, and format reports, legal documents, presentations, and correspondence.
- Maintained organized records and filing systems, ensuring all documentation was up to date.
- Travel & Event Coordination:
- Arrange and manage travel itineraries, including flights, hotels, and transportation.
- Coordinate business events, conferences, and team meetings as required.
Legal & Confidentiality Support:
- Work closely with the Head of Legal, handling confidential and sensitive documents with discretion.
- Assist with reviewing contracts, legal paperwork, and compliance documentation.
- Ensure all legal records and files are maintained and easily accessible when required.
Administrative & Office Management:
- Oversee general office administration and coordinate office supplies and resources.
- Support senior leadership with ad-hoc administrative duties to ensure efficient workflow.
- Handle expense reports, invoice processing, and budget tracking for the department.
Skills and Attributes
- Proven experience as a PA, Executive Assistant, or Legal Secretary.
- Legal sector experience (either working in a law firm or supporting a legal team) is highly desirable.
- Strong diary management, organizational, and prioritization skills.
- Excellent communication and interpersonal skills with a professional demeanour.
- High attention to detail, particularly in document preparation and proofreading.
- Ability to handle confidential information with utmost discretion.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and document management systems.
