LA5 is searching for an exceptional Studio Manager to join their vibrant London studio. In this vital position, you’ll be the driving force behind the studio’s operations, ensuring everything runs smoothly while cultivating an inspiring environment for the team. You will also be a welcoming host to clients and visitors. As the Studio Manager, you’ll be the heart of LA5, serving as the first point of contact ensuring the agency’s daily operations run efficiently.
The ideal candidate will have a strong sense of organization, excellent people skills, and a proactive attitude, all while supporting the seamless day-to-day operations of the studio. GENERAL- Manage & liaise with services, maintenance & cleaning companies.
- Make sure the studio is clean, tidy & presentable.
- Prepare refreshments for client meetings.
- Managing incoming calls & mail.
- Ensure H&S and fire safety procedures are respected.
- Manage waste services.
- First point of contact in studio; greet clients & suppliers.
- Assist MD & Finance Director with the purchase of new premises.
- Present options for furniture requests to MD.
- Point of contact for mobile phone service provider.
- Notify MD of all birthdays, anniversaries & important dates.
- Manage calendar for appointments and client meetings.
- Set reminders for essential tasks / deadlines / meetings.
- Book travel; taxis, flights etc.
- Prepare important documents for sign off.
- Liaise with clients to schedule meetings.
- Assist team with shipping & delivery.
- Maintain strong communication with departments.
- Schedule and manage team meetings.
- Keep CRM database up to date.
- Prepare & display presentations ahead of client meetings.
- Ensure all staff members submit weekly report to MD.
- Ensure Monday boards are updated accordingly by team.
- Make sure all office rules and procedures are followed.
- Ensure all new suppliers have signed NDAs.
- Manage staff expenses & soldo cards/transactions.
- Submit monthly report to MD for all monthly accounts including Amazon, Uber & Gophr.
- Manage and process petty cash.
- Manage office expenses.
- Send & file new supplier & client forms.
- Issue job offer letters & contracts to all new employees and freelancers.
- Follow company process for all new starts & leavers.
- Ensure all new starters have signed NDAs & RCAs.
- Manage annual leave & absence calendars.
- Support MD & Head of Departments with recruitment.
- Manage company PMI policy.
- Maintain company website.
- Support with social media strategy.
- Assist with social media report.
- Manage applications of award programs.
- Oversee procurement of LA5 branded stationary & gifting.
