Larksfield and Arlesey Medical Partnership are looking to recruit a Data Quality Administrator to join our friendly and supportive administrative team. This is an important role within the practice, supporting the delivery of high-quality patient care by ensuring clinical information is accurately recorded and processed. The post holder will be responsible for completing workflow tasks, including the processing and coding of clinical letters and communications, supporting the practice with QOF requirements, and assisting with patient recalls to help ensure patients receive appropriate reviews, monitoring, and follow-up care. Main duties of the job:

  • Processing and managing clinical workflow in a timely and accurate manner.
  • Reviewing, processing, and coding incoming clinical letters and communications onto the clinical system.
  • Ensuring patient records are updated correctly, maintaining high standards of data quality.
  • Supporting the practice with QOF (Quality and Outcomes Framework) requirements.
  • Assisting with patient recall systems, including chronic disease monitoring and screening recalls.
  • Liaising with clinicians and the wider practice team to resolve queries and ensure records are complete.
  • Supporting general administrative tasks as required within the practice.

Job responsibilities:

  • Responsible to: Practice Manager / Administration Team Lead
  • Hours of Work: 25-37.5 hours per week, Monday to Friday across 4 or 5 working days (to be agreed). Working hours will be arranged in line with practice needs.
  • Annual Leave Entitlement: 20 days annual leave + 8 bank holidays (pro-rata)

Job Summary:

Larksfield and Arlesey Medical Partnership are seeking a motivated and detail-oriented Data Quality Administrator to join our busy and supportive team. The post holder will play a key role in ensuring the accuracy and completeness of patient records by processing clinical correspondence, completing workflow tasks, and applying accurate clinical coding. The role will also support practice activity related to QOF (Quality and Outcomes Framework), patient recalls, and other key administrative processes that contribute to safe, effective patient care.

Main Duties and Responsibilities:

  • Workflow Management: Manage and complete daily clinical workflow tasks in a timely manner. Process incoming electronic communications, ensuring actions are completed or forwarded appropriately. Monitor workflow queues and ensure tasks are prioritised appropriately.
  • Clinical Coding and Correspondence: Process, review, and accurately code incoming clinical letters, discharge summaries, and hospital communications. Ensure clinical information is correctly entered into patient records using appropriate clinical codes. Update patient records with diagnoses, test results, medications, and follow-up requirements as directed by clinical correspondence. Maintain high standards of accuracy and confidentiality at all times.
  • QOF and Data Quality Support: Support the practice in achieving and maintaining QOF targets by ensuring patient data is correctly recorded. Assist in identifying missing or incomplete data and support corrective actions. Help maintain accurate registers and disease coding as required.
  • Patient Recalls and Monitoring: Assist with patient recall systems including chronic disease reviews, screening, immunisations, and monitoring. Ensure recalls are processed efficiently and patient records updated accordingly. Support clinicians and the wider team by ensuring recall activity is documented and followed up.
  • Administrative Support: Provide general administrative support to the practice team as required. Assist with scanning, filing, and maintaining accurate electronic records. Support with practice audits and administrative searches where necessary.
  • Communication and Teamwork: Work closely with clinicians, secretaries, and the administration team to resolve queries regarding patient records. Communicate effectively and professionally with colleagues to ensure tasks are completed accurately. Escalate any concerns regarding clinical correspondence or workflow tasks to the appropriate clinician or manager.
  • Confidentiality and Information Governance: Maintain strict confidentiality in line with GDPR and NHS information governance requirements. Ensure all data is handled securely and in accordance with practice policies and procedures.
  • Other Duties: Undertake any other reasonable duties required to support the effective running of the practice.

  • Experience:

Good IT skills, including confidence using clinical systems and Microsoft Office. Ability to work independently as well as part of a team. Professional and confident communication skills. Ability to work under pressure in a busy environment. Experience working in a GP practice or NHS setting. Knowledge of clinical coding (e.g., SNOMED coding). Understanding of QOF requirements and patient recall systems. Experience using clinical systems - SystmOne.
