Top-tier international law firm is seeking to hire a Secretarial Coordinator to join its Bristol office.

Standard hours and hybrid working (3 days office / 2 days remote)

The successful candidate will possess excellent leadership and organisational skills and will operate in a dual role split between secretarial work and secretarial coordinator tasks and duties.
Secretarial Coordinator Key Responsibilities:- Proactively manage inboxes, post, and diaries for Partners and fee earners, including meeting bookings, travel arrangements, detailed itineraries, and expense claims
- Prepare key documents and correspondence to include formatting bids, pitches and client facing documents etc.
- Oversee daily workflow across the group, reallocating tasks to ensure balanced capacity and effective support
- Act as the first point of contact for work allocation, secretarial performance, absences, and operational issues (e.g. sickness, holidays, overtime)
- Monitor team absence and sickness, conduct informal return-to-work interviews, and maintain accurate records in Team Seer
- Provide performance feedback using secretarial competencies and flag any concerns to the Secretarial Manager
- Assist with recruitment of secretaries and Team Administrators, and support trainee / vacation student moves with Group Heads
- At least 7+ years’ experience working as a secretary within a professional services or legal environment
- Previous supervisory experience would be advantageous
- Able to build and maintain constructive relationships with people at all levels
- Client service orientated approach and a genuine interest in learning management skills
