This world class litigation US law firm is looking to hire a newly created Events Coordinator position on a permanent basis to run their annual events calendar for their busy London office.
Base pay range
Salary £45,000 – £60,000 is on offer plus fantastic benefits including free breakfast and lunch

The Events Coordinator will report into the Director of Administration in London and be required to plan, produce and execute quality events, working collaboratively with the London Business Development & Marketing team (4 staff). This is a fantastic opportunity for an existing Events Executive / Coordinator currently working in a law firm to build on their experience in a smaller environment and lead on a range of tailored internal and external high profile events.
Events Coordinator Key Responsibilities:
- Manage the development and execution of internal events and webinars in collaboration with the DoA and BD Director as appropriate
- Work closely with the business development & marketing team, as well as with partners and lawyers to manage the event logistics throughout the lifecycle of an event for example: researching venues/experiences, conducting site visits, booking venues, sourcing entertainment, creating seating plans, working with the graphics team to design and send invitations
- Collaborate with departmental lawyers and business development teams to develop and continually refine best practices and standards across the firm for both in-person and virtual events
- Establish, monitor, manage and report on performance expectations for events and meetings
- Set up event schedules and plans, organise and ship materials, and develop transportation itineraries
- Negotiate contracts and maintain relationships with vendors
- Collaborate with office resources and internal support teams (e.g. facilities, audio/visual, travel, etc.)
- Coordinate with the business development leads on the creation and distribution of promotional pieces and other printed materials
- Being an ambassador for the firm on event best practice. Being a point of contact for consulting on events processes and general guidance
- Raising invoices correctly and sending for payment by their due date
- Staying abreast of competitor activity, new event industry developments and maintaining external supplier relationships
Events Coordinator Minimum Requirements:
- Minimum of 3 years Events experience, currently working in a law firm
- Strong academics
- Knowledge of London Venues and Vendors preferred
- Proficiency in contract negotiations and terms
- Possess excellent written, communication and organisational skills, in addition to advanced knowledge of Microsoft office and Intapp
