An elite US law firm is hiring a new Events Coordinator to join their stunning London offices. The Events Coordinator will lead on the planning and execution of Firm events (internal and external) for lawyers, clients, recruits, and staff in the London office.

Reporting into the London Operations Manager as well as into the Head of Events in the firm’s New York headquarters, the Events Coordinator will take the lead on all London events such as receptions, luncheons, dinners, outings, client seminars, orientation events, client development, charitable and social events. Providing high level work from day one, this is a superb opportunity for an experienced Events Coordinator currently operating in a London law firm looking for additional responsibility.
Events Coordinator Key Responsibilities- Leads on the planning and execution of all events, including site selection, contract negotiation, menu selection, design of invitation and reminders, RSVP tracking, guest list management, seating plans and name badges, onsite staffing, transportation, and post-event follow-up.
- Manages all operational elements through the Firm’s event management system in the agreed format; seating plans, preparation of name badges and supporting materials.
- Responsible for attending internal and external events to ensure every function runs smoothly and any onsite adjustments can be made as needed.
- Works closely with the Business Development team in relation to London Partner events and conference participation (i.e., speaking engagements), as needed.
- Provides ongoing support, including drafting of event communications, organising data, files, and materials, compiling information, preparing routine and ad-hoc reports and responding to requests for assistance.
- Provides day-to-day support to the Operations Manager – London for all meetings held in the London Conference Centre, including on-the-ground support to ensure the smooth delivery of meetings, attendance at the weekly Conference Centre services meeting, and support with logistical planning as required.
- Collaborates closely with other internal departments and service functions on the execution of onsite meetings and special functions (i.e., Reception, Conference Centre, Hospitality, Business Development, Legal Recruiting, Legal Personnel, Human Resources, Audio Visual/IT, building security).
- Provides support with event management software projects and updates. Works with Events team in New York to ensure Cvent data is complete and accurate. Runs reports as needed, and coordinates design and implementation of new Cvent templates.
- Researches site venues and vendors, makes in-person connections, maintains venue/vendor files and contact details.
- Educated to degree level (or equivalent experience)
- A minimum of two years of experience in a law firm handling internal and external events
- Strong organizational, project and time management skills.
- Proficiency in MS Office (specifically Word, Excel, and PowerPoint). Knowledge of Cvent, Manage, Chrome River and ADP are advantageous.
- Excellent communication skills, both verbal and written.
