Our leading UK law firm client is seeking a Document Specialist to join its IT department. This role focuses on developing and maintaining the firm’s Microsoft Office templates, as well as providing real-time support and expert-level document troubleshooting to end users. You will also play a key role in training and upskilling staff to ensure document integrity across the firm.

Key Responsibilities:

  • Serve as the first point of contact for document-related issues/troubleshooting or queries end users have.
  • Acting as a subject matter expert for Microsoft Office applications, ensuring best practices are followed across the firm.
  • Working with the IT Service Desk to identify application issues and to help the team resolve questions quickly.
  • Creating, maintaining and regularly updating the firm's precedent base ensuring they comply with the firm's house style.
  • Developing user manuals, troubleshooting guides, and technical documentation that are accurate, clear, and easy to follow.
  • Working with the IT Training team to design and deliver document specific training materials.
  • Develop document specific based e-learning modules and quick reference guides for self-service learning.
  • Create short video tutorials and quick reference guides for self-service learning.

Skills & Requirements:

  • Experience as a Document Assistant/Specialist is essential, ideally within a law firm.
  • Experience delivering training to staff including PAs or acting as a mentor will be highly desirable.
  • Outstanding knowledge/experience of working with complex documents on various IT packages (e.g. Advanced Microsoft Word skills: styles, templates, macros).
  • Proficiency in Excel, PowerPoint, Adobe Acrobat, and PDF comparison tools, legal document comparison tools (e.g., Novaplex), Visio, and PDF editing and bundling software.
  • Passion for technology, keeping abreast of technology and software changes.
