As a People Coordinator, you will support the departmental Operations Manager by handling administrative tasks, facilitating communication, and ensuring the smooth operation of workforce organization throughout the recruitment process and live event.
Responsibilities
- Process new applicants, oversee onboarding of new hires, and act as the first point of contact via email.
- Assess staff availability and produce staff rosters for each new joiner.
- Maintain departmental inboxes, address queries, and forward escalations to the People Operations Manager.
- Produce daily call sheets for management once live and liaise with Wardrobe for forward preparation.
- Manage shift scheduling and daily absence tracking.
Team Working
- Ensure high team attendance by managing absence promptly and effectively.
- Collaborate with the People Operations Manager to maintain recruitment requirements before and during the event.
- Monitor poor performance and attendance and address them according to company policy in conjunction with seasonal managers.
- Recognise and promote good performance through reward and recognition initiatives.
Health & Safety
- Ensure a safe environment for colleagues and guests.
- Assist in coordinating emergency procedures, ensuring safety and well-being of visitors and colleagues.
- Report any health and safety incidents or near-misses to Event Control, covering hazards, cleaning, and site repairs.
Training
- Assist delivery of role and venue-specific training sessions, track attendance, and maintain up-to-date records for payroll.
- Follow up on no-shows for training sessions and adjust recruitment numbers if needed.
- Serve as first point of contact for workers arriving for training, resolving onboarding issues for smooth first shifts.
During the Live Show Period
- Respond to queries and escalations as needed.
- Ensure HR policies are followed by departmental managers and take notes during recorded conversations.
- Produce daily call sheets for managers and supervisors.
- Schedule sufficient overbooking for shifts, working ahead as possible.
- Log absence and monitor shift coverage while facilitating shift swaps where manageable; pause swaps when unmanageable.
Knowledge, Skills & Experience
- Comfortable as the first point of contact with departmental staff onsite and multitasking.
- Excellent verbal and written communication skills.
- Proficient with Windows and Microsoft applications; adaptable to staffing software.
- Strong organisational and problem-solving abilities.
- Tech-savvy and confident with technology.
- Previous event experience.
- Attention to detail and organisational competence.
Pay and Benefits
- Pay Rate – £15.50 per hour
- Flexible hybrid working until early November, then onsite for the live show.
- Holiday pay of 12.07% at the end of contract.
- Free daily onsite meal once based on-site for the live show.
