Wedding and Events Coordinator duties to include:
- Oversee the day-to-day business and ensure all processes and brand standards are adhered to, ensuring attention to detail.
- To seek new and incremental wedding and events business for hotel.
- To maintain a sound knowledge of local competitors and new trends within the Weddings and Events Industry.
- Manage the sales and bookings of meetings and events, dealing with enquiries, following up with potential clients, meeting clients and promoting offers.
- Ensure effective systems for bookings, invoicing and collecting deposits and payments are in place, reviewing and updating processes as required.
- Manage the booking system and record data
- Conduct detailed and organised appointments through management of email inbox and appointment diary.
- Conduct show arounds and manage the viewings of the venue for potential bookings.
- Create detailed function sheets for all functions & events.
- Liaise & build good working relationships with all departments and external suppliers.
- Manage all aspects on the day of the event to successfully deliver the clients requirements.
- Assist in other departments during emergencies or as deemed necessary by the Deputy Manager / General Manager.
- Be aware of company and hotel policies which affect the M & E department.
- Nurture and build relations with current and potential clients, conference agencies and corporate/private supporters.
- Plan and organize marketing events as wedding open house.
This role is to include weekend and evening work.
The ideal candidate Wedding and Events Coordinator candidate will have:
- Excellent organizational and time-management skills
- Ability to manage multiple tasks and priorities
- Strong communication and interpersonal skills
- Ability to work well under pressure and meet deadlines
- Attention to detail and problem-solving skills
- Experience in event planning, preferably in the wedding industry
- Familiarity with wedding vendors and venues
- Proficient in Microsoft Office
- Ability to work flexible hours, including evenings and weekends
Desirable capability, that not required:
- Familiarity with Guestline reservation, Sage accounting system
