This role is based on-site at Langdale Hotel and Spa, Ambleside, LA22 9JD. Hybrid arrangements may be considered following the successful passing of probation periods.

The Purchasing Co-ordinator is an important administrative role supporting purchasing activity across the Langdale Estate. Working closely with the Purchasing Manager, you will help keep our purchasing processes organised, accurate and running smoothly. A key part of the role will be supporting the day-to-day administration of our eProcurement system ProcureWizard, alongside helping colleagues with purchasing, supplier and supply chain queries. You will work with teams right across Langdale, so this is a great opportunity for someone who enjoys administration, working with systems and data, and building relationships with different people. You do not need to be a procurement expert. We are looking for someone who is organised, confident with systems and keen to learn. Full training and support will be provided, making this an ideal role for someone looking to take the next step in their career and develop experience within purchasing and procurement.

Key Responsibilities

  • Supporting the administration and housekeeping of ProcureWizard, ensuring information is accurate and up to date.
  • Setting up new products, suppliers and service providers within ProcureWizard.
  • Ensuring products and services are correctly coded in line with our financial accounts and purchasing processes.
  • Helping colleagues across Langdale with day-to-day purchasing and ProcureWizard queries.
  • Working with Finance and the Business Support Unit to help resolve supplier, delivery and invoice queries.
  • Monitoring purchase orders and helping to ensure orders are progressed and delivered efficiently.
  • Liaising with suppliers regarding pricing, availability, deliveries and other routine queries.
  • Maintaining accurate purchasing and supplier information.
  • Supporting the production and maintenance of purchasing and management reports.
  • Tracking supplier service levels and highlighting any recurring issues.
  • Helping identify simple ways we can improve our purchasing processes and make ProcureWizard easier and more effective for colleagues.
  • Supporting the Purchasing Manager with general purchasing administration and other activities as required.

Our Ideal Candidate

  • Is organised, accurate and comfortable managing a varied administrative workload.
  • Is confident using computers and Microsoft Office, particularly Excel. Training will be provided where needed.
  • Has good attention to detail and enjoys working with information, systems and data.
  • Can communicate confidently and professionally with colleagues and suppliers.
  • Is able to prioritise tasks and follow queries through to completion.
  • Enjoys solving problems and finding practical solutions.
  • Is enthusiastic, motivated and keen to develop.
  • Works well as part of a team while being comfortable taking ownership of their own responsibilities.
  • Previous experience using an eProcurement system would be useful but is not essential. Some knowledge or experience of Food & Beverage purchasing would also be beneficial, but we are equally interested in candidates with strong administrative skills and the willingness to learn.

This role is based on-site at Langdale Hotel and Spa, Ambleside, LA22 9JD. Staff accommodation or relocation support may be available for exceptional candidates. All candidates must have the legal right to live and work in the UK at the start of employment.
