Location: 4th Floor Management Suite, 123 Victoria Street with the flexibility to WFH on agreement from the Aspire Assist Administration Manager.

The Aspire Assist team is split into two services: the Aspire Assist Helpdesk and the administration team. The helpdesk manages all tickets raised by customers and service partners relating to building faults such as temperature changes, spillages, and more serious issues such as electrical faults. The administration team raises and receipts purchase orders to ensure prompt payment of contracts, contract variations, and ad hoc services.

The role:

  • Raise purchase order requests promptly, ensuring alignment with agreed SLAs.
  • Assist Workplace and Service Partner teams with pending purchase orders.
  • Generate weekly unmatched purchase order reports for all sites, share with relevant Workplace managers, and support timely resolution.
  • Process receipts for purchase orders on a weekly basis to help prevent backlog.
  • Prepare and distribute a weekly open purchase order report.
  • Attend meetings with Aspire Service Partners as needed to ensure all purchase orders are raised and no delays occur in works or services.
  • Maintain and update the Landsec switchboard contact list, including new starters, leavers, and building changes, under the guidance of the Aspire Assist Supervisor.
  • Support new team members by providing guidance on raising purchase orders.
  • Assist in ensuring Direct Recharges are processed in time for the monthly payment cycle.

  • Be accountable for delivering an exceptional customer experience, communicating clearly and effectively with stakeholders, and demonstrating adaptability in dynamic situations.
  • Maintain a high level of reliability, staying motivated to achieve objectives and supporting colleagues, while demonstrating tolerance and understanding in a diverse workplace.

Essential Criteria:

  • Bring strong knowledge of workplace processes and procedures, coupled with hands-on experience in purchase order administration and financial systems.
  • Be highly proficient in Microsoft Outlook, Excel, and Word, and have the ability to manage tasks efficiently both independently and as part of a team.
  • Have clear and professional communication skills, combined with a proven background in delivering excellent customer service.
  • Meet and exceed the expectations of any role requiring attention to detail, organization, and proactive problem-solving.

This is a part-time role: 24 hours - 8 hours per day, 3 days per week.
