Landmarc are seeking a highly capable Team Administrator to join our Facilities Management team at West Tofts. This is a role where your organisation, accuracy, and professional approach directly support the smooth running of our operations, and where strong IT confidence is absolutely essential. You’ll be working with multiple digital systems every day, ensuring our records, workflows, and reporting remain accurate, compliant, and up to date.
Main Responsibilities
- Maintain accurate and compliant digital site records across multiple systems
- Manage documentation and logs for facilities and maintenance activities using our internal software
- Update internal systems, upload reports, and ensure data is stored correctly
- Process data and work orders through our digital workflow tools
- Conduct basic audits of electronic records to ensure accuracy and compliance
- Produce clear and accurate meeting minutes using Microsoft Office tools
- Handle incoming calls and provide reception cover when required
- Provide administrative and system‑based support across the regional team
- Attend other regional sites when necessary to support meetings and system updates
The Ideal Candidate
- Strong administrative and organisational skills
- High level of IT confidence, with the ability to use multiple systems daily
- Proficient in Microsoft Word, Excel and Outlook
- Comfortable learning new software quickly and using digital tools to manage workloads
- Good written and numerical skills
- Effective communication skills
- A valid UK driving licence is essential due to travel requirements
- Experience with CAFM systems is desirable but not essential — full training will be provided

About the Company
Landmarc provides the support services that enable Armed Forces from around the world to prepare for frontline military operations across the UK Defence Training Estate (DTE). This includes maintaining and delivering safe and sustainable infrastructure, managing and operating training areas and ranges and delivering multi-million pound projects to improve vital training assets. By joining Landmarc you will be supporting our vision to provide the best training experience we can for our Armed Forces. We are the first and only Special Purpose Vehicle to be contracted by the Ministry of Defence (MOD) as their Industry Partner on the UK Defence Training Estate and the only company that is solely dedicated to the UK DTE, delivering essential support services since 2003.
