We’re looking for a highly organised and detail‑driven Asset & Maintenance Coordinator to join our team. In this pivotal role, you’ll be responsible for planning and coordinating both planned preventative maintenance (PPM) and reactive maintenance activities across the estate. Your work will directly support operational efficiency, compliance, and the smooth delivery of essential services. Main Responsibilities
- Plan and programme maintenance tasks in line with the Maintenance Inspection and Repair Schedule and the agreed asset list.
- Schedule Planned Preventative Maintenance (PPM) to support the smooth delivery of Estates Services across the region.
- Maintain and manage the asset register, ensuring all records are accurate, up to date and standardised.
- Review and cleanse asset data regularly to eliminate duplication, errors and inconsistences.
- Oversee Work Order processes, ensuring they are followed accurately and consistently.
- Maintain and update regional asset information, ensuring it aligns with the Computer‑Aided Facilities Management (CAFM) system.
- Support the production of maintenance KPIs to help track performance, compliance, and service delivery.
- Log, track, and action remedial maintenance, ensuring all work is completed in line with contractual obligations.
- Monitor the timely completion of both Planned Preventative Maintenance (PPM) and Reactive Maintenance (RM) work orders, ensuring all follow‑up actions and documentation are completed.
The Ideal Candidate
We’re looking for someone who brings both technical awareness and strong organisational capability. You’ll be comfortable working with data, systems, and stakeholders, and you’ll have a natural eye for detail.
Knowledge & Experience
- Proven administrative experience with confidence using a range of office equipment.
- Have a degree of technical understanding of aspects of the built estate (i.e. DSEAR, Asbestos, Legionella, Electrical, Fire, Gas, Petroleum).
- Excellent knowledge of Health and Safety - IOSH Managing Safely (desirable).
- Strong planning, organisational and analytical skills.
- Competent in IT systems, including planning software and Microsoft Office applications.
- Ability to produce accurate management information and coordinate inputs from multiple stakeholders.
- Clear, confident communicator with clients and internal teams.
- Demonstrates a commitment to continuous improvement and professional development.
- Holds UK Driving Licence in order to attend regional meetings when required.
