Key Responsibilities:
- Personal and administrative assistant to the legal team
- Carrying out general administrative/secretarial duties
- Assisting with Microsoft Office Systems (Word / Excel / PowerPoint / SharePoint)
- Assisting with diary/calendar management
- Scheduling meetings and arranging travel
- Supporting legal operations administration, including assistance with matter administration, vendor invoices and legal spend tracking (as required)
- Covering telephones: answering general calls into the department and rerouting to appropriate team member (in Legal or other sites), taking messages
- HR administration - maintaining holiday and sickness records and inputting into holiday and payroll system
- Reporting faults to IT and acting as liaison
- Compliance administration support
- Information point for company policies (travel, expenses, entertainment)
- Maintaining document management systems (office related)
- Training new and existing staff on systems (as required)
- Booking external training courses and managing related subscriptions/invoices
- Providing support and cover for other office staff
Critical Skills and Knowledge Required:
- Ability to work on own initiative with minimal supervision
- Able to prioritise and organise own workload to be able to deliver against deadlines
- Organised and methodical
- Ability to multi-task
- Knowledge of and high level of capability working with Microsoft systems, Ariba (invoicing)
