What are we looking for?
Our Health & Safety Administrator provides support to the Health & Safety team ensuring we meet our regulatory and compliance requirements.
You will maintain and update all Health & Safety related records and track and obtain paperwork as required and support with the delivery of Heath & Safety tasks across the group.
What will my core responsibilities be?
- Provide comprehensive administrative support to the Health & Safety function, including correspondence management, meeting coordination, document control, database maintenance, and record keeping.
- Maintain Health & Safety dashboards, KPI reports, and performance data, including near misses, accidents, incidents, site inspections, FM audits, engineer inspections, training compliance, and corrective actions.
- Support the collection of data, including incident/accidents reports and compliance metrics, to support informed decision‑making and strategic planning.
- Collaborate with H & S Advisors to coordinate and facilitate training sessions and workshops.
- Maintain records of training and certificates for colleagues with documented anniversary dates.
- Support the new starter induction process; Manage the end‑to‑end new starter onboarding process, including arranging inductions, coordinating PPE requirements, enrolling employees onto mandatory training platforms, creating personnel records, and liaising with managers, HR, and operational teams.
- Coordinate Display Screen Equipment (DSE) assessments, Health surveillance and arrange any equipment, workplace adjustments, or support identified through the assessment process.
- Maintain the Live jobs List and record H&S inspection data on each project.
- Support compliance monitoring efforts, conducting regular audits and assessments to identify areas for improvement and ensure adherence to best practices through KPI management.
- Assist in budget management for health and safety initiatives, ensuring resources are allocated efficiently.
- Support the provision of management information including the monthly H&S inspection report to provide senior management with data and insight on areas of concern.
- Work closely with Health & Safety Advisors, operational teams, and management to promote a positive safety culture, support compliance with company policies and legal requirements, and contribute to continuous improvement initiatives.
- Produce meeting minutes, track actions, and maintain accurate records of HSEQ meetings, ensuring actions are monitored through to completion.
- Build effective working relationships with HR, operational teams, managers, directors, training providers, contractors, and external stakeholders to support organisational compliance and continuous improvement objectives.
