Job Description

Ashton Hall, the clubhouse for Lancaster Golf Club, is a prestigious Grade I listed venue hosting weddings, events, and year-round accommodation. It features two bar areas, several function rooms and eleven guest bedrooms.

The Clubhouse Manager is responsible for the day-to-day operations of the Clubhouse, including the timely delivery of food and beverage, effective management of staff and planning of events. They will also ensure that the Clubhouse is well-presented, customers’ needs are met, and that health and safety standards are followed. 

In addition to these responsibilities, the ability to engage with members and provide excellent customer service is essential. Building strong relationships and ensuring members feel valued contributes to a welcoming and enjoyable atmosphere within the Clubhouse.

Primary Responsibilities include:

  • Staff management: Recruit, train, and supervise staff to ensure excellent standards of service. 
  • Business development: Provide an attractive food and beverage offer that encourages customer uptake.
  • Event planning and marketing: Plan, promote and coordinate events for members and non-members. 
  • Inventory and plant management: Ensure that stock levels are maintained and that all equipment is regularly checked and maintained. 
  • Financial management: Manage finances and budgets and work with the Club Manager to ensure sustained profitability and accurate financial information. 
  • Record keeping: Maintain and update records and registers relating to budgets and finance, health and safety, and staff performance and supervision.
  • Health and safety: Ensure compliance with health and safety legislation, including food handling and hygiene standards. 
  • Customer experience: Ensure that customers receive an excellent standard of service and welcoming environment. 
  • Reputation management: Maintain and enhance the reputation of the Club. 
  • Policy development: Develop and implement policies and procedures that implement the LGC’s F&B Strategy. 
  • Communication: Communicate effectively with key personnel and provide regular reviews and appraisals, including addressing customer complaints.
  • Versatility: Undertake other duties and tasks reasonably expected by management.

Person Specification

We are looking for someone with a can-do attitude, who is proactive, enthusiastic, and willing to go the extra mile when need arises. Strong interpersonal skills are essential, as you will be building rapport with members and guests to ensure a welcoming and high-quality experience.

The ability to stay organised and multitask in a fast-paced environment is also key, as you will be managing various responsibilities while maintaining excellent service standards.

Other skills that are required for the role:

·        appropriate levels of numeracy and literacy

·        relevant qualifications for the sector (e.g. management, hospitality, service)

·        experience of the hospitality industry and customer service

·        proven experience of managing budgets and keeping accurate financial records

·        relevant IT skills including Microsoft Office

·        ability to work independently and as part of a team

Working Hours

Working hours for this role will be flexible to meet the needs of the business, including regular evening shifts, weekends, and bank holidays. A willingness to work these hours is essential to support events, weddings and overnight accommodation held at Ashton Hall throughout the year.

Existing Team

The current clubhouse team comprises approximately 12 food and beverage waiting on staff, one cleaner, three chefs, and a deputy manager.

APPENDIX

The following is a summary of the key duties at a level of detail necessary to understand the extent of the role. While not every duty will be executed by the Clubhouse Manager all of the time, ultimate responsibility rests with you for the successful undertaking of these duties. Flexibility and initiative in the role is essential and the duties will be developed and amended once the appointee is in place.

Operational 50%

  1. Opening the premises and securing the premises after all members have left or at such times if on duty.
  2. You will ensure the smooth and efficient running of the bar facilities.
  3. You will ensure the smooth and efficient running of functions and events.
  4. You will be responsible for overseeing the cleanliness and tidiness of the premises including rooms, toilets and changing facilities.
  5. Maintain the cellar, line cleaning, ice machine cleaning etc, as required and kitchens in accordance with food hygiene standards to ensure a 5* rating.
  6. To operate the Clubhouse in a safe manner complying with current fire, health & safety, employment & licensing legislation and act as premises license holder.

Administrative 25%

  1. You will be responsible for overseeing the weekly staff-costed rota for food, beverage and rooms.
  2. Managing staff holidays.
  3. Manage all staff matters ensuring appropriate levels of performance management and employee care and development.
  4. Maintain sufficient bar stock levels and product range.
  5. Manage the room inventory for bed and breakfast reservations via Booking.com.
  6. Liaising with event organisers leading up to their respective events.

Business Development 25%

13. Carrying out venue show-rounds for prospective bookings.

14. Attend local networking events.

15. Showing initiative to win over new business in this process.

16. Working alongside the club manager to develop the brand awareness and profitability of Ashton Hall.
