About the BSO role

The purpose of this job is to work within the ethos and values of the in-house service which provides high quality supports that afford people dignity and respect in accordance with the principles of person centred practice. Under supervision maintain, update and extract information from systems and databases and provide general administrative, clerical, and financial support. This could include producing financial and management information and/or the provision of general advice and guidance to the public or service users or call for the use of higher level text processing, spreadsheet, IT skills or audio typing that involves the use of a range of software packages.

Key Accountabilities

  • To respond to Customers by:
  • Maintaining and respecting confidentiality at all times
  • Engaging and responding with dignity and respect to people supported by the service
  • Reception of visitors
  • Message taking
  • Answering the telephone
  • Managing enquiries
  • Dealing with contractors
  • Dealing with concerns and complaints

Skills and experience

To undertake all aspects of administration duties required within a busy service by:

  • Collecting, inputting & providing data as required by Managers, highlighting any discrepancies
  • Developing and maintaining computerised and manual information systems including the Adult Social Care Customer Feedback Database in line with Data Protection and the Freedom of Information Acts
  • Maintaining accurate records including financial records as directed by Managers
  • Providing a word processing service as required, including notes of meetings, memos, reports, correspondence, client profiles, policies, procedures etc.
  • Photocopying, scanning, filing and processing mail
  • Using a range of software to support the development of a range of materials for the service, e.g. marketing brochures, accessible information

To arrange and service meetings as required by:

  • Managing the use of rooms within the building
  • Booking of rooms and hospitality
  • Taking notes
  • Preparation and distribution of information as required

To undertake financial duties by:

  • Procuring goods and services requiring the use of online financial systems
  • Banking and petty cash duties
  • Month end returns

Other information

To assist with the security and management of buildings and valuables as directed by your line manager under the Premises Management requirements.

To contribute to the development of Equal Opportunities and the promotion of Diversity.

To implement and comply with Lancashire County Council Procedures including Quality measures and Health and Safety.

To undertake any other duties as required by your line Manager as commensurate with the grade of the post.

This position is part time; please note the salary quoted is full time equivalent, the salary received will be paid on a pro-rata basis.
