Applications are invited for the post of Fleet Support Assistant within LC Fleet Management, Administration Team
based at Hutton Headquarters.
This position is to be part of the Fleet Services support function undertaking administration support including using and updating of the Fleet Management System, Telematics and Dash Cam Platforms.
Working as part of a high performing team to deliver a best-in-class fleet service and end user experience.
To provide administrative support for the Fleet Services externally sourced contracts including but not limited to fleet motor policy, collision damage repairs, third party loss providers, independent assessors, fuel purchases, telemetry, vehicle collection/delivery, vehicle auction and vehicle salvage. Ensuring that appropriate systems are updated in real time to enable fleet services to deliver the required service level to the Constabulary.
The post holder will provide specialist fleet and general administrative support to the department and its management team.
Key Responsibilities
- To form part of an efficient administration team ensuring all records within the Fleet Management System are inputted accurately and are comprehensive, relevant, and compliant with the requirements of the Road Traffic Act 1988, Health and Safety at Work Act and Provision and Use of Work Equipment Regulations.
- To carry out all vehicle related administration for the entire cycle within the department ensuring all documentation in relation to our vehicle fleet and driver licencing is always compliant and entered onto the relevant systems in a timely manner.
- Insure all fleet data is up to date and assist the Senior Leadership Team to provide reporting dashboards and power point presentation packs including daily fleet status reports.
- Enter all Police Vehicle Incident data into the Fleet Management System and ensure information is referred to our insurers, third party loss recovery agents and legal teams where appropriate.
- Assist the Fleet Support Manager to manage user access and be the first point of contact in relation to all fleet systems and platforms including the fleet management system, telematics platform, DVLA, Allstar, MID etc.
- To administer the Fleet Management, Driver Portal and Telematics systems ensuring drivers and supervisors have the required access. Provide advice and guidance on their effective use and integration into business processes to maximise benefits.
- To support Fleet system users by delivering training inputs appropriate for their role and business requirements; provide ad hoc advice on request and progress any issues raised to their successful resolution.
Skills And Experience
Association of Fleet Professionals – Fleet Vehicle Management – Strategic Level IMI qualification at Pass or above or willing to work towards and complete within 24 months. N/SVQ Level 3 Diploma, or above, in Customer Service or an equivalent qualification or willing to work towards and complete within 24 months.
Vetting
Successful applicants will be required to pass Recruitment Vetting prior to commencing their role.
Please be aware there is a minimum 3 year UK residency required for Recruitment Vetting.
