About the Job
The Project Administrator will be responsible for coordinating multiple projects and workstreams, ensuring activities are delivered efficiently, on time and in line with business objectives. Working closely with Project Managers and stakeholders across the organisation, the postholder will coordinate project plans, monitor risks, track progress, produce management information and facilitate communication between internal and external stakeholders.
The role will have ownership of defined project activities and will proactively identify opportunities for improvement, escalating issues and supporting decision-making to ensure successful project delivery. The postholder will act as a central point of coordination, ensuring projects remain on schedule, resources are effectively utilised and stakeholders are kept informed throughout the project lifecycle.
Key Responsibilities
- Coordinate day-to-day project activities and independently manage assigned workstreams
- Coordinate multiple projects simultaneously and prioritise competing deadlines
- Produce regular project status reports and dashboards for senior stakeholders
- Develop, implement and continuously improve project processes and workflows
- Act as primary point of contact for project stakeholders and facilitate communication
- Retrieve necessary information (e.g. user/client requirements and relevant case studies)
- Coordinate project plans, milestones, dependencies and resource requirements
- Manage incoming correspondence and emails
- Organise and facilitate project meetings and actions, including the taking and distributing of meeting minutes
- Monitor progress of defined aspects of specific projects and business processes, identifying problems or opportunities
- Coordination of internal process to meet requirements
- Communicate with a wide range of stakeholders and other professionals both internally and externally
- Tracking and updating project status, solving problems and proactively driving the type approval process to ensure deadlines are met
- Undertaking research projects to assist with answering customer enquiries or further expanding their scope
Experience and Qualifications required
- Minimum 2 years' experience in a Project Coordinator, Project Administrator or Project Support role
- Experience coordinating multiple projects simultaneously
- Experience engaging with stakeholders at all levels
- Experience producing project reports and management information
- Experience maintaining project documentation and governance processes
- Experience using Microsoft Office Suite, including but not limited to; Microsoft Project, Microsoft Teams, Excel, Bower BI and Sharepoint
- Working knowledge of: PRINCE2, Agile methodologies, Waterfall methodology
