Overall Role Purpose
The QA Systems person is responsible for maintaining the internal audit system and the HACCP system. This includes investigating and resolving customer complaints, driving improvement following trend identification, conducting traceability exercises and mock recalls, managing lab samples, maintaining documents, and calibrating equipment. KPI reports and project work such as complaint reduction are also part of the role.
Key Accountabilities and Responsibilities
Internal Audit Programme
- Schedule audits and issue audit packs to relevant auditors
- Review completed audits, provide feedback, and assess audit frequency risk
- Chase outstanding audits and escalate if necessary
- Transfer action points to the Corrective and Preventative Action list
- Champion root‑cause analysis and agree actions and timelines with relevant parties
- Chase outstanding non‑conformances and raise escalation if overdue
HACCP System
- Attend corporate HACCP meetings
- Schedule on‑site review meetings
- Review the HACCP plan to meet corporate and customer requirements
Customer Complaint Management
- Log complaints
- Investigate customer complaints using production history
- Report findings to the Quality Assurance Manager / Customer QA Manager
- Review complaints for trend and implement corrective and preventative actions as necessary
- Communicate trends to QA & Production Manager
- Hold monthly complaint‑reduction meetings and collate actions into a complaint‑reduction plan
Other Responsibilities
- Conduct and present traceability exercises as per schedule and during audits & visits
- Present complaints, internal audits, product recall, and calibration records to auditors/visitors
- Deputise for QA Specialist / QA Support with daily routine quality matters
- Conduct investigations based on requests from QA Manager or other departments
- Carry out document control and communicate changes to the training department
- Log samples for the external lab, arrange couriers, and ensure sufficient lab supplies
- Complete weekly internal KPI reports and customer KPI reports on request
- Complete internal audits
- Any other reasonable request from Line Manager
KPI’s Influenced by the Role
Key internal networks, report and escalation to QA Manager, source explanations of modification proposals from submitting departments, discussion of proposals with QA Manager, consultation with customer QA managers/specialists regarding complaints, present research and reports, hold complaint‑reduction meetings, provide training and instruction to employees, assist in customer visits and queries, and present audit responsibilities.
Role Factors
Stakeholders: QA Inspector, Shift Manager, Process Supervisor, Packaging Supervisor
Job Skills, Qualifications & Experience
- Good communication skills and a can‑do attitude
- Ability to challenge existing standards and persist to ensure improvements
- Supervisory experience is a plus
Qualifications
- Minimum general education with Maths and English GCSE (or equivalent)
- Industry‑recognised QA qualification/training desirable
- Chemical training, H+S, HACCP, GMP, and Food Safety desirable
- Internal audit training desirable
- Degree in a food‑related subject desirable
Experience
- 2+ years in a quality food manufacturing role
- Knowledge of MS Office and SAP/SCADA Root Cause Analysis
- Internal/Lead auditor training
- HACCP Level 3
