Your mission
As an Executive Assistant (EA) at Lakestar, you will play a pivotal role in providing high-level support to our Partners, Principals, and members of the C-Suite or departmental heads. Your work will ensure seamless day-to-day operations and create the space for our senior leadership to focus on strategic priorities. This role combines EA duties with office management responsibilities and requires excellent organizational skills, discretion, flexibility, and proactive communication. You will work closely with other EAs to ensure efficient coverage and continuity across teams. This is a 12–15-month, full-time maternity leave cover position in London.
Your profile
Executive SupportYou will be assigned to support one or more of the following: Partners, Principals, and/or C-Suite leaders. Levels of support may vary depending on the individual, but core responsibilities include:
- For Partners & C-Suite / Department Heads:
- Full diary ownership, including scheduling, prioritizing, and rescheduling complex calendars
- Light support with travel and logistics for meetings and events
- Processing of corporate and personal expenses
- Contact and data management in Salesforce
- Ad hoc administrative tasks and support, including event planning
- Being responsive and available during working hours to act on short-notice requests
- For Principals:
- Basic external meeting scheduling and calendar management
- Expense submission and basic Salesforce updates
- Day-to-day responsiveness for any immediate needs
You will be the team’s main contact for TravelPerk, providing travel support when complications arise and liaising with our account manager. You will also be the London Office Health and Safety go-to person to ensure relevant checks are carried out on fire equipment and office safety. Ad hoc HR support may be required, such as adding new UK employees to the healthcare plan and HR admin support for setting up internal onboarding meetings. Maintaining and updating the Employee Landing Page and Handbook to ensure it is always up to date.
Office ManagementEach EA also serves as a central point of contact for office operations. Key responsibilities include:
- Ensuring the smooth day-to-day running of the office
- Managing supplies, mail, and general office upkeep
- Greeting and hosting visitors, and supporting team meetings
- Keeping internal documentation and Notion pages up to date
- Liaising with building management and vendors
- Organizing internal team events and supporting external meeting logistics
- Supporting broader team initiatives with ad hoc administrative tasks
Be present in the office at least four days per week. Coordinate with fellow EAs to ensure consistent office coverage and plan overlapping holidays accordingly. Maintain regular check-ins with those you support to adapt to changing needs. Clearly communicate holiday plans, provide comprehensive handovers, and ensure adequate coverage while you’re away. Step in as cover for fellow EAs when needed, with access to appropriate tools and calendars.
