We're looking for a confident, proactive administrator to play a key role in maintaining our quality systems. You'll be at the heart of the business, acting as a central point of coordination and working closely with teams across the organisation to keep processes and documentation accurate, well‑controlled and continually improving.
What you’ll be doing:
- Managing and maintaining the organisation's quality management documentation, ensuring it is accurate, up to date, well‑structured and clearly presented.
- Controlling document versions, metadata, templates and formatting to meet internal standards.
- Creating and maintaining guidance manuals that explain how systems are managed and governed.
- Updating, adding and removing content in line with requests from content owners.
- Monitoring document usage and feedback to drive improvements.
- Supporting system issues by raising and tracking IT support tickets.
- Promoting the importance of quality, governance and good documentation across the business.
- Preparing a monthly summary of system changes for visibility and communication.
- Using internal communication channels to raise awareness and encourage engagement.
- Providing ad‑hoc support to users of the Project Gateway Governance system.
What we’re looking for:
- 5 GCSEs (grades A–C / 9–4), including Maths and English.
- Proficient in Microsoft 365 (Microsoft Word, Excel, PowerPoint).
- Experience in an administrative, coordination or operational support role.
- Strong document management, record‑keeping and proofreading skills.
- Confident communicator, comfortable presenting and engaging with people at all levels, including senior stakeholders.
- Proactive, organised and detail‑focused.
- Able to work independently and manage priorities effectively.
Desirable:
- An analytical mindset with the ability to interpret and present data.
- Ability to handle confidential information with professionalism and discretion.
