We're looking for a confident, proactive administrator to play a key role in maintaining our quality systems. You'll be at the heart of the business, acting as a central point of coordination and working closely with teams across the organisation to keep processes and documentation accurate, well‑controlled and continually improving.

What you’ll be doing:

  • Managing and maintaining the organisation's quality management documentation, ensuring it is accurate, up to date, well‑structured and clearly presented.
  • Controlling document versions, metadata, templates and formatting to meet internal standards.
  • Creating and maintaining guidance manuals that explain how systems are managed and governed.
  • Updating, adding and removing content in line with requests from content owners.
  • Monitoring document usage and feedback to drive improvements.
  • Supporting system issues by raising and tracking IT support tickets.
  • Promoting the importance of quality, governance and good documentation across the business.
  • Preparing a monthly summary of system changes for visibility and communication.
  • Using internal communication channels to raise awareness and encourage engagement.
  • Providing ad‑hoc support to users of the Project Gateway Governance system.

What we’re looking for:

  • 5 GCSEs (grades A–C / 9–4), including Maths and English.
  • Proficient in Microsoft 365 (Microsoft Word, Excel, PowerPoint).
  • Experience in an administrative, coordination or operational support role.
  • Strong document management, record‑keeping and proofreading skills.
  • Confident communicator, comfortable presenting and engaging with people at all levels, including senior stakeholders.
  • Proactive, organised and detail‑focused.
  • Able to work independently and manage priorities effectively.

Desirable:

  • An analytical mindset with the ability to interpret and present data.
  • Ability to handle confidential information with professionalism and discretion.

This role would suit someone who enjoys taking ownership, improving how things work, and being a trusted point of contact across the business.
