Overview

This role does not offer visa sponsorship. Due to the nature of this role, we are looking for someone who can commit to working in the Dartford office Monday-Friday.

About the Role: We are looking for a proactive and motivated Legal Team Assistant to join our busy in-house Legal Team of over 30 lawyers at Laing O\’Rourke. As the team continues to grow, this role is ideal for someone who thrives in a fast-paced environment, takes initiative, and can hit the ground running. You\’ll play a key part in ensuring the smooth running of the team by providing high-quality administrative support. Professionalism and discretion are essential, as you\’ll be trusted with handling sensitive and confidential information on a daily basis. This is a varied role where no two days are the same. You\’ll work with colleagues across the team, adapting to different needs and personalities, so a collaborative mindset and willingness to help are vital. We\’re looking for someone who is people-focused, adaptable, and brings a positive, can-do attitude to every challenge.

Responsibilities

  • Provide administrative and legal support to a 35-person team across Corporate, Resilience, Legal C&M Teams
  • Provide light touch diary management to the Legal SLT Team
  • Handle invoices, and legal document preparation (contracts, redactions, briefs, reports, and presentations)
  • Maintain case files and legal research subscriptions (iManage, PLC, BusyLamp, Westlaw)
  • Manage Legal Systems, such as Busylamp, Carpe Diem etc – pull reports and analyse data
  • Liaise with clients, courts, panel law firms and third parties, ensuring professional communication
  • Organise team events, office supplies, and administrative support for smooth operations
  • Manage mostly domestic and some global travel arrangements, flights, trains, accommodation, transfers, and meal arrangements
  • Manage monthly expenses and invoices, ensuring timely processing and accurate recordkeeping, while ensuring cost efficiency

Ideal Candidate

  • A proactive self-starter who takes initiative and gets things done without needing to be asked
  • Confident, approachable, and people-focused – a natural “go to” person for the team
  • Experienced in providing high-level administrative or PA support, with proven ability to work closely with stakeholders
  • Ideally has worked in a legal environment or another highly confidential industry
  • Highly organised with strong attention to detail, able to juggle multiple priorities
  • Positive, bubbly, and communicative – someone who builds great relationships and represents the team with energy and enthusiasm
