We are looking for an exceptional corporate receptionist who is ready to move into a role with additional facility management and administration responsibilities. Based in a stunning office building in the Cowley area of Oxford, the position is offered as a 3-month contract, with the potential to become a permanent role for the right candidate.

Initially, you will work closely with the Building Manager, providing high-level administrative and facilities support while demonstrating strong organisational skills and the ability to effectively coordinate and manage contractors. This is a highly visible and varied role where personality, professionalism, and attention to detail are essential. As the position develops into Front of House reception role, you will be responsible for delivering a five-star visitor and occupier experience, managing the customer journey to ensure a positive and lasting impression.

Β£32,760 PA
Monday – Friday 8.00am – 5.00pm

Key Responsibilities

  • Reception
    • Maintain an impeccably presented, welcoming reception environment that reflects the prestige of the building and the expectations of the occupier community.
    • Act as the primary point of contact for all visitors, providing a polished and personable first impression.
    • Represent the landlord with confidence, professionalism, and a strong understanding of the building, services, and occupier needs.
    • Deliver high-quality hospitality for visitors and occupiers, ensuring premium refreshments are replenished and re-ordered.
  • Building management
    • Build and maintain effective relationships with occupiers, contractors, and key stakeholders, including the Building Management Team.
    • Support the Building Manager with administrative tasks and ad hoc projects.
    • Logging/reporting issues, seeing through to resolution.
    • Provide support overseeing contractor visits, ensuring all works are carried out in line with Building Management requirements.
    • Assist with the management of building documentation, service records, and reports, ensuring accuracy and timely updates to the Building Management system.
    • Collaborate with the Building Manager to review and update policies and procedures, ensuring they remain current and effective.
    • Develop strong working relationships with the local letting agents and support them by ensuring any vacant office space is kept pristine in preparation for viewings.
  • Tenant experience and community engagement
    • Prepare a monthly occupier e-newsletter (as and when required).
    • Support and deliver on-site events, pop-ups, competitions, and activations (as and when required).

Skills, Knowledge and Expertise

  • Proven experience in a front of house reception role and are ready for a new challenge.
  • Personable and proactive with a confident manner and able to deliver impeccable customer service.
  • Self-motivated and thrive in an environment where you are required to multitask.
  • Excellent problem resolution skills along with outstanding communication and active listening skills.
  • Competent Microsoft Office / App / Social Media user and willing to learn in house systems and processes.
  • Experience using Canva or other graphic design tools.
  • Advantageous: Understanding of building operations and facilities management.
