About the Role

We are looking for an experienced, professional and personable Front of House / Receptionist to be the first point of contact for our clients and visitors.

This is a varied role at the heart of a small, friendly law firm, combining reception and telephony duties with office and facilities support.

You will play a key part in creating a warm, polished first impression of the firm and in keeping the office running smoothly day to day.

Key Responsibilities

  • Reception & Client Care
  • Greet clients, visitors and guests warmly and professionally, ensuring a positive first impression of the firm
  • Answer, screen and direct incoming telephone calls promptly and courteously
  • Manage meeting room bookings, ensuring rooms are set up and tidied for client meetings
  • Offer refreshments to clients and visitors and manage catering for meetings where required
  • Handle incoming and outgoing post, deliveries and couriers
  • Office & Facilities
  • Ensure the kitchen is fully stocked with coffee pods, water, milk and other refreshment supplies
  • Monitor and replenish stationery and general office supplies
  • Liaise with suppliers and contractors for office facilities matters (cleaning, maintenance, equipment)
  • Keep reception, kitchen and communal areas clean, tidy and presentable at all times
  • Support health & safety and general housekeeping standards across the office
  • Administrative & Case Support
  • Accurately log and update client and matter information using the firm's case management system
  • Provide general administrative support to fee earners and the wider team as required
  • Assist with filing, scanning, photocopying and document management
  • Support the onboarding of new clients, including file opening and ID verification processes
  • Use initiative to identify and resolve day-to-day issues without needing constant direction

About You

  • Previous front of house / reception experience within a law firm or professional services environment is essential
  • Experience working front of house for a small firm, comfortable wearing multiple hats
  • Confident, competent user of case management systems
  • Calm, professional and well presented, with a genuine passion for delivering excellent client service
  • Able to build rapport and communicate effectively with people at all levels, from clients and visitors to partners and support staff
  • Comfortable dealing with a wide range of personalities with tact, discretion and diplomacy
  • Self-motivated with strong initiative; able to prioritise and manage a varied workload with minimal supervision
  • Excellent verbal and written communication skills
  • Strong organisational skills and close attention to detail
  • Several years' solid, relevant experience in a similar role
