About The Role
Position: Reservations Executive
Department: Front Office
Reports to: Sales & Events Manager & General Manager
Responsibilities
- Receive incoming reservation enquiries from a variety of customer types including individual leisure guests, corporate guests, tour companies, sporting groups, conference groups and others.
- Respond to email enquiries and bookings professionally and in a business‑like manner.
- Collect online reservations from the online booking agent.
- Complete reservations in the PMS system, ensuring details are accurate.
- Manage reservations, confirming bookings, arranging group bookings, and supporting daily duties in the reservations office.
- Allocate bedrooms, ensuring rates are correct.
- Update OTA listings and monitor rate parity.
- Collaborate closely with the Reservation Team to maintain a high standard of efficiency and quality of work.
- Work closely with the Reception team.
- Maintain effective working relationships with clients, identifying their needs and encouraging repeat business.
- Develop close working relationships with all departments and colleagues to meet guest expectations.
- Generate sales opportunities and business for the future by building strong client relationships.
- Manage all sales enquiries and communicate requests to the relevant departments.
- Ensure effective daily communication of reservation details with Reception, Housekeeping and all departments.
- Consistently update the hotel's accommodation database.
- Assist with any reasonable requests made by the company, including flexibility in hours and responsibilities.
- Assist other departments to deliver the best possible service.
- Comply with all policies and procedures as written in the staff handbook.
- Maintain adherence to Health and Safety Policy requirements.
