Responsibilities
- Provide high‑level administrative, operational, and project support to the Divisional Vice President, General Manager and their leadership team.
- Manage the VP‑GM’s complex calendar, scheduling and coordinating meetings across time zones.
- Arrange domestic and international travel and expense claims in compliance with internal policies and regulations.
- Draft, format and manage correspondence, presentations and briefing materials for internal and external use, respecting confidentiality.
- Coordinate leadership meetings, prepare agendas, take minutes and track action items.
- Act as a trusted liaison between the VP‑GM, sector teams, clients and other stakeholders.
- Support planning and execution of key internal and external events, site visits and conferences.
- Provide management and coordination support for business improvement initiatives and ad‑hoc projects, tracking milestones and delivering reports.
- Facilitate communication and coordination across the business, building effective working relationships.
- Serve as primary point of contact for all travel enquiries for the VP‑GM and their leadership team, coordinating with travel providers and ensuring compliance with corporate travel policies.
- Process and support expense reporting in line with company policies.
Qualifications
- Previous experience in an Executive Assistant, Personal Assistant, Office Manager or junior Program Management role.
- Experience supporting senior leaders and managing competing priorities.
- Strong organisational and time‑management skills with excellent attention to detail.
- Excellent written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite.
- Ability to manage confidential information with discretion.
- Strong problem‑solving capability.
