As Assistant Facilities Manager, you will be responsible for ensuring the smooth and efficient operation of all facility-related services at Kwalee's Leamington Spa studio. You will work closely with vendors, service providers, and internal teams to maintain high standards of workplace safety, cleanliness, and functionality. Together, you will create an environment that is cost-effective, productive, and conducive to our team's success. This role is based onsite 5 days per week at our Leamington Spa studio, where our daily in-office collaboration fuels creativity and innovation.

Responsibilities:

  • Ensure all facility operations (cleaning, maintenance, security, etc.) are running efficiently.
  • Oversee and manage day-to-day activities to ensure high-quality service levels.
  • Ensure the workplace complies with all health, safety, and environmental regulations, including the coordination of regular safety inspections and audits.
  • Manage relationships with external vendors (cleaning, maintenance, security, etc.), and negotiate contracts and service-level agreements (SLAs) to ensure cost-effective and high-quality services.
  • Assist in managing the facilities budget, tracking expenses, and ensuring services remain within allocated budgets, including the proposal of cost-saving initiatives without compromising service quality.
  • Develop and implement plans for handling facility-related emergencies (fire, natural disasters, etc.), and ensure proper functioning of safety systems like fire alarms, extinguishers, and emergency exits.
  • Oversee routine inspections of the facility and identify any areas in need of repair, and schedule/supervise repair activities to minimise disruption to business operations.
  • Ensure a clean, safe, and functional working environment by coordinating with housekeeping and maintenance teams.
  • Monitor and maintain inventory of facility equipment and supplies (e.g., furniture, cleaning products, office equipment), ensuring that facility assets are well-maintained and operational.
  • Assist in planning and optimising office layouts, workstations, and communal areas for space efficiency.
  • Coordinate seating arrangements, relocations, and the accommodation of new hires.
  • Supervise facility team members, including janitorial, security, and maintenance staff, provide guidance, training, and development for team members to ensure top performance.
  • Assist in implementing environmentally sustainable practices, such as energy-saving programs, recycling initiatives, and waste reduction.
  • Support in planning and executing facility-related projects such as renovations, office relocations, or space redesign, whilst ensuring minimal disruption to regular operations during any facility upgrades or changes.
  • Act as the point of contact for internal stakeholders (employees, management) to address any facility-related concerns or needs.
  • Maintain accurate records related to facility operations, including maintenance logs, safety inspections, vendor contracts, and budgets.
  • Proactively identify opportunities for improving facility operations and introduce best practices for efficiency and cost-effectiveness.

Requirements:

  • Strong organisational skills, an eye for detail, and the ability to multitask in a dynamic work environment.
  • Demonstrated experience in a similar role, with a strong track record of successfully managing facilities and operations.
  • Excellent communication and collaboration skills to work effectively within a team.
  • Proficient in Excel, Google sheets.
  • Previous experience in vendor management.
  • Experience in soft services with exposure to the technical aspects of the facility.
  • Demonstrated experience with health and safety compliance, including conducting inspections and implementing safety measures.
  • Demonstrated ability to handle emergency preparedness and implement effective solutions.
